JOB DESCRIPTION AND POSITION REQUIREMENTS:
Penn State Berks' Not One More Program is seeking a part-time program assistant. The program assistant will work primarily with the Berks Youth Violence Intervention and Prevention Program (BeYVIP). The program is a collaborative effort between Penn State Berks and RIZE (a youth arts program in Berks county). BeYVIP will facilitate collaboration among community agencies and organizations, faith communities, and schools to reduce violence among youth in our target areas. Secondary goals include reducing the duplication of services among local youth service agencies, promoting information sharing, and better connecting youth who are at-risk for violence to community resources from which they may benefit.
Program Assistants are responsible for providing administrative support by working closely with a 3-person leadership team, program staff and community partners to execute the mission of BeYVIP. Individuals should be innovative self-starters who are skilled at administrative tasks such as typing, communication (written and oral), data entry, event planning, time management, managing online resources and organizational calendars.
Job Duties
Program Assistant Responsibilities:
Timely response to queries from community partners, media, staff and clients.
Scheduling and preparing for appointments, meetings, and events.
Effectively communicating with staff and community stakeholders.
Assist in the preparation of documents including grant applications, letters, flyers and reports.
Updating, maintaining, and organizing organizational records.
Managing and updating online resources (social media, website, databases, etc)
Managing organizational calendars and sending out reminders for meetings, appointments and events.
Managing office inventory and supplies.
Attending and documenting staff and community partner meetings
Responding to emails and answering calls
Compiling and sending bulk mailings
Assisting in the planning and overseeing events
