Shift/Schedule: Full Time (40 hrs/wk)
GENERAL SUMMARY
Works under the supervision of the Administrative Director of Medical Staff Services. The Medical Staff Services Assistant's primary job function is to perform general secretarial duties for the department and assists with the provider enrollment process. Performs other duties as assigned.
QUALIFICATIONS
Education:
• High School Diploma or successful completion of an equivalent High School Exam Required
Licensure:
• None
Experience:
• Previous secretarial experience preferred.
JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS
The following is a summary of the major job duties of this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.
1. Types, proofs, and edits department correspondence (i.e., memos, letters, minutes). Correspondence is frequently confidential.
2. Open, screens, prioritizes, and distributes incoming mail.
3. Answers, screens, and refers incoming calls and visitors and responds to general inquiries with proper documentation (i.e., messages).
4. Oversees ordering/stocking of department office supplies.
5. Prepares various reports as required (i.e., monthly or quarterly reports).
6. Maintains department-related record, files, and manuals.
7. Schedules meetings for department as required.
8. Develops, implements, and maintains record keeping and filing system, handles significant volumes of confidential information including physician contracts, continuing medical education, credential files, malpractice information and provider application files.
9. Arranges meetings and conferences, completes travel arrangements for Physicians Services Department and all Foundation physicians. Maintains personal calendars.
10. Serves as the backup to the Provider Enrollment Coordinator.
11. Assists the Medical Staff Services and Medical Education departments as needed.
