GENERAL STATEMENT OF FUNCTIONS

Responsible for assisting and supporting the Director of Marketing & Resource Development and Administration Office.


SPECIFIC DUTIES AND RESPONSIBILITIES

  • Reception and telephones
  • Inventory and organization of office supplies
  • Maintain and edit electronic documents, including manuals, program documents, organizational systems, and forms
  • Assist with newsletters and marketing materials
  • Proofread and format documents
  • Administrative filing
  • Manage Administration and Conference Room Calendars
  • Purchasing
  • Distribute information and materials as directed

Requirements

QUALIFICATIONS, EDUCATION AND EXPERIENCE

  • Thorough knowledge of Business English (including grammar, vocabulary and punctuation), common office procedures, and standard office equipment
  • Ability to type a minimum of 60 word per minute
  • Ability to work independently and as part of a team
  • Computer literacy is a must
  • Knowledge of Google Workspace (Google Calendar, Drive, Gmail, Docs, Sheets, Chat, Meet)
  • Familiarity with E-Newsletter platforms is helpful ie. MailChimp, Constant Contact, etc.
  • Considerable experience in document formatting
  • Expert knowledge and experience using Microsoft Office products, including Work, Excel, PowerPoint, and Publisher
  • Familiarity with Adobe Acrobat 
  • Experience with Sage and/or Quickbooks accounting software
  • Valid California Driver’s License
  • Acceptable driving record
  • State minimum required automobile insurance
  • Reliable transportation
  • High school diploma
  • Two (2) years or more of full-time clerical and bookkeeping experience

PHYSICAL ABILITIES

  • Ability to maintain up to a 40-hour work week
  • Skills for use of calculator, typewriter and computer
  • Good vision and hearing are needed to perform all requirements of this position

MENTAL ABILITIES

  • Good organizational skills to ensure meeting deadlines
  • Good communication skills
  • Ability to handle multiple tasks and priorities
  • Math skills for producing financial reports

REPORTING RELATIONSHIP

  • Reports to Director of Marketing & Resource Development

POSITION CLASSIFICATION

  • Non-exempt

NORMAL WORK SCHEDULE

  • Monday through Friday, 8:00 a.m. to 4:30 p.m. or alternate schedule if approved
