Job Description Summary

The Clinical Manager provides operational leadership, direct clinical support, and patient access/front desk support for an off-campus College of Dental Medicine (CDM) clinic location. This position manages the daily activities of dental assistants, dental hygienists, and assigned Patient Service Representatives (PSRs) and/or Treatment Care Coordinators (TCCs) to ensure high-quality, efficient patient care and consistent clinic operations.

The Clinical Manager serves as the on-site operational leader and is expected to work across both clinical and front desk functions based on the needs of the location. The manager functions clinically in their discipline (Dental Assistant III or Dental Hygienist) and provides direct front desk/patient access coverage when needed.

Job Description

30%:

  • Supervise and coordinate the daily activities of dental assistants, dental hygienists, and assigned PSRs and/or TCCs at the clinic location.
  • Oversee daily clinic workflows across both clinical and front desk operations, ensure adequate staffing, and reassign team members based on operational needs.
  • Conduct routine staff meetings and collaborate with the Director of Clinical Operations, Patient Access leadership, and other clinic managers to maintain operational consistency.
  • Monitor staff performance, provide coaching and feedback, and participate in performance evaluations.
  • Serve as the primary on-site operational resource for staff, providers, students, and patients and escalate issues to appropriate leadership when necessary.

25%:

  • Provide chairside dental assisting using four-handed dentistry techniques or perform preventive care as a licensed dental hygienist, based on clinic and patient care needs.
  • Prepare, set up, and break down operatories for procedures, maintaining strict adherence to infection control protocols.
  • Update and utilize the Electronic Health Record (EHR) to document patient care activities.
  • Acquire dental imaging (e.g., periapical, panoramic, 3D) following safety standards, as appropriate to licensure and certification.
  • Provide clinical coverage during staffing shortages, high-volume periods, breaks, or other operational needs.

20%:

  • Supervise assigned PSRs and/or TCCs and support consistent front desk and patient access workflows at the clinic location.
  • Provide direct front desk coverage as needed, including patient check-in and check-out, registration activities, scheduling, telephone support, and other patient access functions within the scope of the role.
  • Support accurate collection and verification of required patient information, forms, consents, and other documentation in accordance with established workflows.
  • Assist with coordination of referrals, treatment care coordination, financial or insurance-related workflow handoffs, and patient communication as applicable to the assigned location.
  • Monitor patient flow from arrival through departure and work with clinical and front desk staff to address delays, communication gaps, and service issues.
  • Partner with Patient Access leadership to ensure front desk staff follow standardized CDM workflows, policies, and customer service expectations.

15%:

  • Maintain inventory of dental instruments, supplies, and materials for the clinic location.
  • Anticipate needs, place supply orders, verify deliveries, and resolve supply chain issues in coordination with the Director of Clinical Operations.
  • Ensure operatories, clinical storage areas, and applicable front desk work areas are properly stocked, organized, and maintained.
  • Monitor equipment and supply needs and coordinate repairs, replacements, or service requests as appropriate.

10%:

  • Ensure staff adherence to CDM, MUSC, OSHA, HIPAA, and other applicable policies and procedures across clinical and front desk operations.
  • Provide training and onboarding support for new dental assistants, dental hygienists, PSRs, and/or TCCs on location-specific workflows and expectations.
  • Serve as an on-site resource for infection control, equipment troubleshooting, incident reporting, patient service concerns, and operational problem-solving.
