About the Role

In order to achieve its ambition of serving 80,000-100,000 Fellows over the next decade, Braven is hiring an Executive Support & Operations Coordinator who will provide executive support and constituent relationship management support to 2 senior leaders: the Executive Director, New York and the Managing Director, Delaware - with the potential to support another leader if needed.

As a member of the Office of the CEO, this person will help identify opportunities to standardize and drive quality of our executive support systems and how we operate cross-collaboratively with other teams.

This person will report to the Director, Executive Support with dotted lines to two executives.

What You’ll Do

Support Senior Leaders (95%).

  • Provide administrative support to two executives which includes scheduling meetings, conference calls, calendar management, and travel arrangements.
  • Coordinate logistics for meetings including managing the attendee invites and responses, preparing materials, catering, travel and onsite logistics.
  • Enter and update stakeholder data and project details into Salesforce and Asana.
  • Draft and edit correspondence to internal and external stakeholders and project manage correspondence.
  • Ensure timely processing of reimbursements and expense reports.
  • Manage regional Board meeting scheduling, logistics, and board material prep, as needed.
  • Provide additional administrative support to the New York and Delaware teams as it relates to the work of the Executive Director, New York and the Managing Director, Delaware.
  • Execute and/or assist with ad hoc projects and tasks.

Executive Support Team Operations (5%)

  • Assist the Executive Support and Operations team with event coordination, as needed.
  • Cross collaborate with Executive Support team members on adhoc projects, as needed

Requirements

Who You Are

Minimum Qualifications

  • At least two (2) years of administrative experience including calendar management
  • Proficiency in Microsoft Suite applications (Outlook, Word, Excel, PowerPoint) and G-Suite (Google Drive, Google Docs, Google Forms, Google Sheets and Gmail) required

  • Bachelor’s degree or equivalent experience
  • Proficiency in Salesforce, Zoom, Expensify and booking online travel
  • Extraordinary organizational skills and attention to detail
