About the role

The Admissions Specialist and Program Coordinator provides administrative and strategic support and assistance for a range of duties across all programs in the English Language Institute. The role is responsible for pro-actively executing a high volume of processes that require analytical and evaluative skills to support students in the admissions process and to promote programs in institute's portfolio.

  • Provides front-line, high-end customer service, greets visitors, answers phones, responds to email inquiries, and distributes mail

  • Works independently with confidential and time-sensitive materials, utilizing UTK's CRM, SIS and other student management software (e.g. SLATE, Banner, Trilby, DASH)

  • Leads marketing campaigns and customer service correspondence with internal and external stakeholders in-person and online to promote the institute's portfolio

  • Manages institute-wide calendars, events, which often require coordination with other unit and campus staff

  • Reviews, monitors, and evaluates student application pipelines, identifies issues or trends in lead generation and conversion rates

  • Provides recommendations and manages all information related to admissions processing, student onboarding, placement, plans of study, student retention

  • Maintains student immigration records and compliance-related documentation, interprets established guidelines, and ensures accurate record-keeping within applicable systems and procedures by serving as a DSO

  • Coordinates internal marketing and outreach activities, monitors engagement metrics, and recommends communication approaches to support program visibility and enrollment growth

  • Manages and oversees social media and marketing platforms (Instagram, Facebook, Youtube, MailChimp, WhatsApp, etc.)

  • Teaches as substitute instructor for English language classes

  • Independently and proactively sets meetings and events; including space reservations, ordering or picking up food or other materials

  • Manages, organizes, inventories all physical materials at the institute (including but not limited to supplies, textbooks, electronic resources, keys, devices)

  • Makes decisions regarding student payments, refunds, invoices, and relevant reports

  • Provides support for students pre-arrival and arrival (e.g. VolCards, insurance, registration, housing, transportation, etc.)

  • Other duties as assigned by the director

Required Qualifications

Education: Bachelor’s Degree

 

Experience: 1-3 years in international and/or education contexts

 

Knowledge, Skills, Abilities:

  • Knowledge of and ability to use software systems (Microsoft Suite, Google Suite) proficiently

  • Ability to communicate with and teach students with limited English

  • Ability to proactively manage and prioritize tasks and projects

  • Ability to take initiative, think critically and utilize problem-solving skills

  • Ability to work effectively with a wide range of constituents in an international student community

  • Ability to gather data, compile information, and prepare reports

  • Ability to work independently and with limited supervision

  • Ability to use tact and discretion when dealing with a variety of issues (e.g. finances, immigration, family issues)

Preferred Qualifications

Education: Master’s Degree

Experience:

  • 3-5 years experience in international and/or higher education contexts

  • Experience in international admissions

  • Experience teaching English to students from non-English language backgrounds

     

 

Knowledge, Skills, Abilities:

  • Ability to communicate in Spanish, Portuguese, Vietnamese, Japanese or a language in addition to English

  • Knowledge of Banner, SLATE, Oracle, Trilby, and/or SEVIS software systems

  • Knowledge of e-marketing systems (e.g. MyEmma, MailChimp, etc.)

  • Knowledge of English l
