About the Job:

The Executive Assistant will provide comprehensive administrative support to senior executives. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced corporate environment. The Executive Assistant will act as a key liaison between the executive team, internal stakeholders, and external partners while ensuring efficient day-to-day operations.

Roles and Responsibilities:

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements. 

  • Prepare and edit correspondence, reports, presentations, and other business documents. 

  • Handle confidential information with a high level of discretion and professionalism. 

  • Screen emails and calls, responding on behalf of the executive as needed. 

  • Coordinate and facilitate communication between executives, employees, and external partners. 

  • Organize and prepare materials for meetings, including agendas, presentations, and minutes. 

  • Assist in the planning and execution of company events, conferences, and executive offsites. 

  • Attend meetings as needed, take detailed notes, and follow up on action items. 

  • Arrange complex travel itineraries, accommodations, and transportation for executives. 

  • Process and track expense reports, ensuring compliance with company policies. 

  • Support executives in strategic planning and key projects, ensuring deadlines are met. 

  • Conduct research and compile data to support business initiatives and decision-making. 

  • Assist in drafting and reviewing key corporate documents and reports. 

  • Acts as a liaison with other departments and outside agencies, including high-level staff such as hospital management, Human Resources and other team members. Handles confidential and non-routine information and explains policies when necessary. 

  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects which may include planning and coordinating multiple presentations, disseminating information, organizing large scale company events. 

  • Proofreads communications and materials for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. 

  • Monitors, analyzes and processes expense reports sending to accounts payable. Processes check requests for payment. 

  • May be available to work a flexible schedule as needed. 

  • May be required to be on-call after regular business hours.  

Education/Experience/Skill Requirements:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred. 

  • Three or more years of experience as an Executive Assistant or in a similar role, preferably in a corporate environment. 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools. 

  • Strong organizational and time-management skills with the ability to multitask and prioritize effectively. 

  • Excellent verbal and written communication skills. 

  • High level of professionalism, discretion, and confidentiality. 

  • Strong problem-solving abilities and proactive approach to challenges.
