Position Responsibilities
The Executive Assistant provides high‑level administrative and operational support to the Consumer Marketing leader and the Business Insights & Analytics (BIA) leader within the Global Customer Office. The role spans communication, scheduling, office management, travel & expense coordination, and special‑project support for direct and indirect business partners. The incumbent operates with integrity, excellence, respect, and strict confidentiality, working independently in a dynamic, fast‑paced environment to consistently achieve results across multiple functions.
Communication Management
Draft, edit, and prepare executive‑ready letters, documents, and presentations from concepts or outlines.
Manage heavy phone volume; answer/transfer calls professionally, triage inquiries, and ensure timely follow‑through.
Manage executive email workflows as desired by the leaders (read, evaluate, respond, forward, and/or delete where appropriate).
Serve as the primary point of contact for the executives, maintaining strong relationships and minimizing disruptions; liaise with senior leaders, internal teams, clients, and external partners.
Communicate independently in response to incoming requests and accept accountability for outcomes; exercise excellent judgment and discretion.
Schedule Management
Own complex calendar management for two senior leaders; prioritize, organize, and optimize time across competing priorities.
Update, cancel, and confirm virtual, on‑site, and off‑site meetings; ensure the leaders receive pre‑reads and materials on time.
Coordinate and direct activities at special functions and key communication events.
Arrange domestic and international travel with complete, detail‑rich itineraries (lodging, ground transportation, meeting sites, participants/bios); proactively manage changes.
Office Management
Read, screen, document, answer, and file high volumes of correspondence to streamline executive review.
Coordinate and direct activities of others in the work area; delegate projects, follow up on performance, and mentor other administrative assistants as needed.
