About the role


Job Summary:

The Manager, Terminal Operations Support provides comprehensive administrative, financial, and operational support across all terminals and serves as a critical partner to the Operations leadership team. This role manages invoicing, vendor coordination, documentation, travel, training support, project budgets, audit preparation, and serves as the primary administrative support resource for the VP of Terminal Operations and other VPs within the Operations organization.In addition, this role provides direct leadership and functional oversight of all Terminal Administrative personnel, ensuring consistent standards, performance accountability, and best practices across the network. While Terminal Administrative staff maintain a direct reporting relationship to the Manager, they also have a dotted-line relationship to Area Management to ensure strong local alignment with operational priorities, staffing needs, and terminal-specific requirements.The Manager oversees the Documentation Retention Program, including management of the dedicated documentation staff member assigned to that function, and serves as the central point of leadership for administrative operations throughout the organization.

Job Description:

  • Administrative Leadership & Organizational Support
  • • Serve as the primary administrative leader for all terminal locations.
  • • Provide direct reporting-line management, coaching, performance management, and professional development for all Terminal Administrative personnel.
  • • Establish and maintain standardized administrative processes, procedures, and service expectations across terminals.
  • • Lead hiring, onboarding, training, and succession planning for terminal administrative roles.
  • • Maintain clear primary reporting relationships while supporting effective dotted-line alignment with Area Management.
  • • Partner closely with Area Managers to ensure administrative support aligns with regional and terminal-level priorities.
  • • Facilitate regular communication between Terminal Admins, Area Managers, and Operations leadership.
  • • Balance centralized standards with localized operational needs.
  • • Resolve workload, prioritization, and role-clarity conflicts.
  • • Promote continuous improvement, collaboration, and best-practice sharing among administrative staff.

  • Administrative & Operational Support
  • • Serve as the primary administrative point of contact for all terminals.
  • • Provide administrative support and calendar coordination for the VP of Terminal Operations and additional VPs within Operations as needed.
  • • Guide and support administrative personnel to ensure alignment, consistency, and shared standards.
  • • Manage incoming and outgoing communications across terminals.
  • • Oversee office supplies, uniforms, and administrative inventories.
  • • Process and distribute mail and related documentation.
  • • Coordinate vendor scheduling, travel arrangements, and meeting logistics.
  • • Organize bi-annual Terminal Managers Meetings and offsite training events.
  • • Train admins and new managers on ServiceNow, Oracle, and Workday.
  • • Review and approve utility invoices for terminals without onsite administrative support.
  • • Set up new vendors for terminals lacking administrative resources.
  • • Perform other duties as assigned.

  • Documentation & Compliance
  • • Oversee the Terminal Operations Documentation Retention Program, including leadership and direction of documentation support staff.
  • • Track, manage, and maintain all operational documentation and filing systems.
  • • Create, distribute, and maintain standardized operational forms.
  • • Maintain training documentation for audit readiness and regulatory compliance.
  • • Update and distribute weekly coverage reports for terminal leadership.
  • • Maintain the organization’s master terminal vehicle list, including insurance tracking and documentation.
  • • Compile, review, and prepare documentation for internal audits and compliance reviews.
