THE ROLE

Reporting to the Director of Events & Group Sales, the Sales Coordinator is primarily responsible for assisting a wide range of support duties related to the daily sales needs within the group and event departments. This person will effectively support the sales team with daily administrative tasks and assigned operational duties and will work closely with other internal departments at the museum. The Sales Coordinator should be professional, self-motivated, and positive.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Support logistics for all groups and events which will include proper documentation, BEO’s and communicating. logistics to other departments. 
  • Assist in maintaining and organizing CRM systems (Salesforce, Accesso Insights, Momentus) to monitor client , vendor, and group count data.
  •  Assist the sales team in outbound and prospecting efforts.
  • Attend various BEO, event logistics and stadium production meetings.
  •  Liaison with appropriate departments and ops personnel about tours events.
  • Provide operational support to the Event’s Manager to help ensure all tasks are completed according to the event plan.
  • Assist with updating and organizing collateral such as photos, flyers, and videos for the sales team.
  •  Support the creation of marketing materials for events/groups in partnership with the marketing team.
  • Assist sales team with preparation for conferences, site visits and other client meetings/hosted client events.
  • Assist in the development of new sales programs and initiatives.
  • Must be available to work special events as scheduled.
  •  Provide excellent customer service.

EDUCATION AND/OR EXPERIENCES

  • 1-2 years of related experience in hospitality, catering, or special events industry.
  • Bachelor’s degree or equivalent combination of education and related experience in events or hospitality.

SKILLS AND ABILITIES

  • Ability to work nights, weekends, and holidays may be required.
  • Excellent interpersonal, verbal, and written communication skills.
  • Bilingual in Spanish is a plus.
  • Computer proficient in Microsoft Word, Excel, and PowerPoint required.
  • Adobe Acrobat, Illustrator and Photoshop is a plus.
  • Able to work well within a team environment, offering assistance and support to team members whenever necessary.
  • Strong organizational, writing and communication skills.
  • Detail oriented, organized and self-motivated.
  • Ability to work well with others, comfortable taking initiative.
  • Desire to be an industry leader.
  • Excellent customer service skills, display a genuine desire to help people.
  • Professional image and demeanor.
