Spring Health is seeking a highly organized, proactive, and service-oriented Executive Assistant / Office Coordinator to support key leaders in our San Francisco office while helping create a seamless in-office experience for employees and visitors. This role will be a key operational presence in the SF office, while supporting our Chief Technology Officer and Chief Information Security Officer.

This is a full-time, in-person role based in San Francisco, Monday through Friday. This role will report directly to the Manager, Executive Support. Occasional travel may be required for team or company events and/or meetings. 

What you’ll do: 

  • Proactively manage complex calendars, meetings, and priorities for supported leaders
  • Prepare leaders for meetings by coordinating agendas, materials, and briefing documents
  • Track deadlines, action items, and follow-ups to ensure strong execution and visibility
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, and itineraries
  • Draft, proofread, and edit emails, presentations, and other business documents
  • Support team meetings, All Hands, and offsites through planning, logistics, and execution
  • Partner closely with leaders to anticipate needs, flag risks, and help them stay ahead of commitments
  • Handle sensitive and confidential information with professionalism and discretion
  • Manage expenses and other administrative workflows accurately and on time
  • Create a welcoming, organized, and high-functioning office environment for employees and visitors
  • Serve as the primary point of contact for guests, vendors, and office visitors
  • Oversee front desk and day-to-day office operations, including supplies, snacks, mail, catering, and common spaces
  • Support conference room readiness, meeting logistics, and in-office events
  • Partner with cross-functional teams, including People and Workplace, on office operations and special projects

What you’ll bring:

  • 3+ years of experience supporting senior leaders or executives in an Executive Assistant, Administrative Assistant, Office Coordinator, or similar role
  • Strong calendar management, prioritization, and organizational skills
  • Excellent written and verbal communication
  • High level of professionalism, discretion, and judgment
  • Ability to anticipate needs and operate with urgency in a fast-paced environment
  • Experience coordinating in-office logistics, events, or workplace operations
  • Comfort balancin
