Job Summary:
The Administrative Assistant will serve as a member of the Data Management Team and will assist in various duties as assigned by the Data Management Coordinator. The Administrative Assistant should be highly organized and detail oriented. The Administrative Assistant will play a crucial role in supporting the smooth and efficient operation of our department by providing administrative and clerical support. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to multitask in a fast-paced environment.
Essential Responsibilities and Duties:
- Manage all Data Management Requests
- Assist in responding to inquiries and requests from JRC Ministry Teams
- Serve as a point of contact between the Data Management Team and other JRC Ministry Teams
- Coordinate with other departments and teams to facilitate information.
- Assist in coordinating project timelines and milestones. Prepare and send Connection Report to Executive Team weekly.
- Update and send visitor information statistics to the Executive Team weekly.
- Prepare and assign New Visitor Interactions to Campus Pastors weekly.
- Prepare and distribute Weekly Cookies Visits, which would include mapping of visits for Pastors.
- Updated church management system database with any notes from returned Cookie Visits and/or Follow-up Phone Calls
- Archive all visitor cards each week.
- Email Background Screener with anyone no longer attending, so forms can be archived.
- Enter all Campus Pastor “Call Follow-Up” forms from their no longer attending call assignments.
- Prepare report of all members that are no longer attending for approval as requested by Executive Team
- Submit monthly “Membership Memo” for all new membership prospects to the Executive Team & Lead Pastor
- Enter all deceased notifications into the ChMS daily.
- Partner with departments to pull lists or build reports for their specific ministry needs in the ChMS confirming accuracy and data integrity of all information provided.
- Coordinate the approval and scheduling of mass text communication as requested by departments.
- Be accurate and precise in all data entry tasks.
- Prepare and edit correspondence, reports, and presentations.
- Assist in maintaining departmental calendars and schedules.
- Assist with collecting and organizing monthly credit card receipts.
- Monitor and order office supplies and equipment as necessary.
- Ensure the cleanliness and organization of the office space.
- Assist with registration phone calls in a prompt and courteous manner.
- Assists with Data Entry projects in the ChMS as needed.
- Assist Data Management Coordinator with day-to-day logistics of the Data Management Department
- Assists with “day of” event registration needs, and onsite check-in as needed.
- Performs other related duties as required or assigned by the Data Management Director.
Requirements
Job Requirements:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Attention to detail and a high level of accuracy.
- Ability to handle sensitive and confidential information with discretion.
- A proactive and adaptable attitude, with the ability to prioritize tasks effectively.
- Must be punctual, pleasant, and tactful with professional appearance and conduct.
- Capacity to interact positively with and provide service to others at all levels within JRC.
- Ability to establish and maintain effective working relationships with supervising personnel, coworkers, civic organizations, business professionals, and the general public.
- Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
- Ability to work in a fast-paced environment while meeting critical deadlines.
- Must have strong analytical skills.
Knowledge, Skills, & Abilities:
- Knowledge of FellowshipOne church software would be helpful.
- Knowledge of Brushfire registration software would be helpful.
- Knowledge of Excel software is preferred.
