About the role

Summary

The Senior Coordinator, Executive Support will support the Director of the Duncan Neurological Research Institute (NRI) in all aspects of the Director's role, serving as a liaison between the NRI, Texas Children's Hospital, and Baylor College of Medicine. Responsibilities include, but are not limited to, drafting and/or finalizing general correspondence and emails; maintaining the calendar; scheduling meetings, interviews, seminars, symposia, and special events (often between multiple executives and senior faculty as well as external guests); recruiting new faculty; and coordinating faculty nominations for prestigious national and international awards. Impeccable verbal and written communication skills, superb organizational capabilities, and the ability to manage multiple competing deadlines simultaneously are required. This position will interact with the highest levels of leadership throughout the Texas Medical Center, across the country, and around the world. 

 

The successful candidate must be poised, polite, and well-spoken as he or she will often be the first individual trustees, donors, executives, department chairs, and faculty with interact with in the Director's office of the Duncan NRI. Attention to detail and a willingness to go above and beyond in every aspect of the position is paramount. The successful candidate must also be flexible and adaptable - comfortable in a fast-paced, ever-changing environment. This is a high-pressure, but high-reward position, joining everyone in the NRI truly making a difference for patients and their families suffering from devastating disorders. 

Job Duties

  • Maintains the Director's calendar with the Director and other key personnel to manage conflicts and ensure the needs of all constituencies are met (including College and hospital executives, in-chiefs, department chairs, section chiefs, faculty, donors, and trainees).
  • Manages meetings and occasionally attends as needed to take notes. Coordinates various resources including food and drink, room space, equipment and other supplies.
  • Formats, proofreads, and finalizes correspondence, reports, and other documentation.
  • Organizes & Tracks Work & Information for People Supported (includes Faculty and any trainees or staff assigned to them).
  • Provides Editorial Support, CV Management, and General Office Document Support and Management.
  • Supports Procurement & Ordering Processes.
  • Prepares PowerPoint presentations.
  • Prepares travel authorizations, reimbursements, reconciliations.
  • Arranges special breakfasts, luncheons and other meetings as needed.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • A bachelor's degree in any discipline.
  • English fluency and proper grammar.
  • Excellent knowledge of the Microsoft Office Suite (Word, Excel, Powerpoint etc.).
  • Ability to work in a fast-paced environment under pressure.
