Job Description
The Document Control Specialist administers the legal department’s document management system, following related procedures that capture, store, retrieve, share and destroy electronic records and documents. Maintain patent, trademark, and/or document databases.
"This is a part-time role reporting into our Legal department in our downtown Spokane headquarters. Work hours to be determined at selection based on work demand and candidate preference. Approximately 20 hours / week."
Essential Functions/Responsibilities.

- Accurately and efficiently enter and maintain new and existing intellectual property (patents and trademarks) into database in compliance with document storage and record keeping requirements and best practices.
- Use logic and organizational skills to determine appropriate title, effective date, expiration date and other relevant data for agreement and intellectual property submissions.
- Ensure document security protocols are adhered to.
- Enter and remove users from web-based software.
- Identify and correct deficiencies to documentation systems or make recommendations to process owners for improvements.
- Design database queries to run reports based on requirements/fields and data inputs upon request.
- Ensure database integrity by working with external patent and trademark attorneys and internal subject matter experts.
- Work closely with marketing to keep US patents accurate on company website.
- Create, execute, and distribute legal project monthly status reports, yearly tax reports and other reports as requested.
- Coordinate data from a variety of sources for inclusion in reports and presentations; perform independent research and prepare information for special projects, as assigned.
- Draft and maintain confidentiality in the handling of all personal and legal information related to Pyrotek team members, products, and business relations.
- Maintain procedures and instructions related to document management tasks.

Qualifications
Education/Experience. Associate degree in Business Administration or related field, plus three (3) years of related experience in one or more of the following areas: maintaining, documenting, organizing and working with patents, trademarks and/or other important documents; or equivalent combination of education and experience. Previous experience in a legal environment a plus.
Knowledge/Skills/Abilities.

- Communication Skills. Ability to speak clearly and persuasively in positive or negative situations, listen and obtain clarification, and respond well to questions. Proficiency in writing clearly and concisely and editing work for spelling and grammar.
- Computer/Applications Skills. Proficient computer skills using a variety of software applications systems, including Microsoft Office Products, including MS Word and Excel, and data management software. Experience with database administration and/or query writing, a plus.
- Core Business Skills. Ability to develop metrics and develop forms and spreadsheets. Ability to exercise sound judgement and discretion in handling of proprietary and confidential information. Ability to work independently and to use resources effectively to “figure it out.” Strong critical thinking skills, judgment and keen attention to detail and accuracy.
