Job Summary:
Under the direction of the Associate Director of Admissions, the Enrollment Assistant plays a critical role in advancing Regis University’s enrollment strategy and mission by ensuring the timely, accurate processing of admissions applications. This position supports institutional enrollment goals by managing application files across multiple systems, maintaining data integrity, and facilitating clear, responsive communication with prospective students. Through efficient operational execution and attention to detail, the Enrollment Assistant helps create an accessible, student-centered admissions experience that aligns with Regis University’s commitment to academic excellence, service, and inclusive access to education.Major Duties and Responsibilities:
Application File Management
Processes admissions applications from submission through permanent file creation, using a variety of databases and systems. Maintains a high-level working knowledge of procedures and systems.
Creates and manages the application file using multiple databases and system
Provides information and guidance to students and staff regarding admission policies and procedures.
Maintain data quality to meet AACRAO guidelines, FERPA regulations and Regis University standards and policies.
Develop and maintains admissions related files and forms, which include confidential information.
Communicates with staff and applicants regarding application file requirements and status.
Maintains and updates training manuals with latest revisions.
Database Management
Creates and maintains accurate applicant data, adhering to Regis University and the Office of Admissions data and documents standards, policies, and procedures using Salesforce (CRM), ImageNow, and Colleague (SIS).
Qualifications:
High school diploma or GED
Minimum of one-year work experience in a college/university setting as a student employee or graduate assistant (or) 1 year as a full-time employee with a preference for work in a busy office environment.
Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Bilingual, Spanish-speaking preferred
Working Conditions:
Working conditions are normal for an office environment. Work may require occasional weekend and/or evening hours.
