The Administrative Assistant is a key individual contributor responsible for supporting the day-to-day administrative activities of the Medical Staff Services Department. Reporting directly to the Director, Medical Staff Services, the Administrative Assistant supports the Medical Staff Services Department, the Medical Staff members, the PHO, and Nashville General Hospital Administration. This position will provide administrative support through daily office activities, including front desk and reception duties; meeting and calendar management; call schedule process support; project, program, and event administration; and widespread support for the department. This position requires mindfulness, a high level of skill involving multiple activities in support of a busy office, and exceptional judgment in dealing with information of a highly confidential and sensitive nature.As an Administrative Assistant, you will:

- Ensures that daily office operations are performed in a seamless and efficient manner
- Answers phones, responding to phone/in person/email inquiries, screening calls, and overseeing related issues
- Schedules meetings for Medical Staff and Medical Staff Leaders for one-time, recurring, ad-hoc, and committee meetings with internal and external participants
- Provides general clerical assistance with copying, printing documents, filing, and maintaining records
- Processes verification requests
- Processes incoming and outgoing mail
- Maintains inventories for office and kitchen supplies and order supplies for office suite while maintaining general office appearance
- Receives and restocks supplies upon arrival
- Greets visitors and guests to the Medical Staff Services Department and provides the highest level of professional service
- Utilizes Microsoft Outlook Email and Calendar applications, Word, Excel, and PowerPoint in support of Director, Medical Staff Services
- Must represent the Medical Staff Services Department with a professional image and positive, service orientated attitude
- At least 3 years of directly comparable experience
- Excellent Microsoft Outlook calendaring skills
- Proficiency in Microsoft Office, such as Word, Excel, and PowerPoint
- Excellent organizational skills
- Ability to take initiative and work well under pressure
- Ability to perform complex tasks and to prioritize multiple projects and competing deadlines
- Demonstrated ability to work as a part of a team
- Excellent verbal, written, and visual communication skills are necessary.
- Ability to manage and impart confidential information is necessary.
- Records maintenance or archival skills are preferred.
- At least 5 years of directly comparable experience
- An associate or bachelor’s degree from an accredited institution of higher education
