Duties and Responsibilities:

  • Serves as the Fiscal Auditor in the Statewide Travel Management System (STMS) for all travel reimbursements and maintains the DOAH’s Travel Log and monitors the Travel@doah.state.fl.us inbox daily.  Communicates any identified issues with the Travel Preparer, Traveler, and the Traveler’s Supervisor when needed. 
  • Responsible to conduct travel training for staff upon request either in person or via Zoom. 
  • Responsible for keeping current on all of the laws, policies, and procedures pertaining to reimbursing staff and others traveling on behalf of the state of Florida and making recommendations to the Operations Manager for improvements to the travel procedures as needed.
  • Serves as DOAH’s Invoice Manager on all MyFloridaMarketPlace (MFMP) payments to include, but not limited to: verifying the proper organization code, expansion option, and object code are coded correctly and funding is available on every payment. The Accountant III is responsible for managing the Invoice Manager’s queue to ensure all invoices are paid in compliance with prompt payment.
  • Processes payments such as payroll, lease payments, phone bill, AVIS direct invoice, contract payments and journal transfers in a timely and accurate manner assuring prompt payment compliance. 
  • Processes Reimbursement Other than Travel Forms upon request in a timely and accurate manner assuring prompt payment compliance.
  • Responsible for creating and monitoring the appropriation quarterly invoices as determined by the General Appropriations Act for other state agencies and keying the TR96s in FLAIR.
  • Responsible for printing out the “Outstanding Warrants Over 3 Months Old” Report and researching and resolving any issues. 
  • Responsible for submission of the Affidavit for Duplicate Warrant to the Reconciliation Section of the Department of Financial Services with supporting documentation, if needed.
  • Responsible for setting up account payables for all goods and services received prior to year-end, but paid after June 30th. 
  • Completes and submits the Accounts Receivable Write-off form to Department of Financial Services (DFS) as needed and submits the Annual Report of Claims for Collection to DFS.
