This position will perform duties as the Administrative Specialist for the Environmental Management and Compliance Directorate in support of the NNSS, at the Area 5 Radioactive Waste Management Complex (RWMC). This position will support and work closely with both program managers and scientific staff, and interface directly with multiple directorates, programs, and project managers.
Key Responsibilities
- Provide comprehensive independent administrative support to the RWMC and the Radioactive Waste Program.
- Provide a wide variety of administrative assignments requiring independent analysis and self-direction, including maintaining waste shipment records and facility procedures.
- Assist management in planning, coordinating, and directing a variety of office management functions within the organization for detail related to technical operations, processes, programs, and projects.
- Prepare reports, memos, letters, and other documents, using business software including word processing, spreadsheet, database, and presentation.
- Contribute recommendations for improving operations/processes, solving problems, and addressing issues for improving work group effectiveness.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Will develop and maintain calendar of events and follow-up actions for the division.
- Prioritize workflow to complete task assignments within established timeframes.
- Maintain facility and program records in compliance with the Records Management Program as the Records Coordinator.
- Act as time administrator for approximately 25 RWMC staff.
- Assist in procurement of items and services supporting RWMC as a P-Card Holder and a Requisition Preparer.
- Perform routine administrative duties; answer phones, update phone lists, submit telephone service requests, processing badging requests, assist in arranging travel and processing expense reports.
- Communication conduit for organization by collecting weekly reporting for each project, producing several reports from that data, maintains manager’s calendar, scheduling facility resources, and distributing information through directorate, program, project, functional, and facility management channels.

- Minimum Education and Experience: Bachelor’s degree in related field and at least 2 years’ of professional level experience, which provided a sound working knowledge of administrative policies and procedures, or equivalent training and experience.
- Knowledge of business and management principles involved in planning, resource allocation, human resources, and coordination of people and resources.
- Skill to understand the implications of new information for both current and future problem solving and decision-making.
- Able to utilize independent judgment, creativity, and initiative to resolve problems and ensure that requirements are completed efficiently and on time.
- Able to apply knowledge of principles, concepts and theory related to professional business discipline/field related to the position and employ a systems approach to address issues and to define and resolve problems.
