Job Summary:
The Associate Project Manager manages assigned project elements throughout the project phases. Responsibilities include participation in building project plans and working with a team to execute against them (managing the full project lifecycle). The role involves monitoring, communication, coordination, and ensuring the completion of projects on time, within budget, and within scope. The Associate Project Manager sets deadlines based on directions from their immediate manager, leverages available resources, and monitors and summarizes progress of the project. They also prepare reports for upper management and stakeholders regarding the status of the project.
Key Responsibilities & Duties:
Manage Assigned Project Elements:
- Project Planning and Monitoring:
- Assist in defining project scope and objectives, involving all relevant stakeholders and ensuring feasibility.
- Responsible for the creation of the overall Project Plan and project schedule (typically in the form of a Gantt chart). For less complicated projects, may prepare full Project Plans.
- Help identify dependencies and risks.
- Contribute to changes to the project scope, project schedule, and project costs, following ICANN's project governance framework when needed.
- Manage and track all changes to the project plan.
- Project Communication:
- Maintain communication with owners of project steps to ensure that their issues, concerns, and updates are understood and accepted by the project team.
- Ensure regular and transparent communications among team members, following ICANN's specific transparency standards and methods.
- Prepare status updates for senior management and project status reports.
Project Management:
- When authorized, may act as the Project Manager.
- Track and manage the completion of action items, deliverables, and the resolution of issues, ensuring that deliverables meet requirements.
- Coordinate the work efforts of diverse cross-functional staff and team members.
- Flag potential risks to the immediate manager, assisting with risk management to minimize project risks.
Project Implementation & Closure:
- Typically prepares straightforward or draft Closure Reports according to existing specifications.
- Assist in developing, socializing, launching, and tracking actions to address lessons learned.
- Perform other duties as assigned or requested.
Required Knowledge, Skills, and Abilities (KSAs):
- Strong computer skills, including proficiency in MS Office suite, Salesforce or similar CRM tools, collaboration products, and project management applications.
- Ability to find the right solution while moving quickly in a changing environment.
- Exceptional communication and writing skills, with the ability to adjust based on the audience.
- Ability to manage priorities and resources collaboratively.
- Skilled in managing and coordinating activities of a cross-functional implementation team comprising subject matter experts, accountability, legal, risk, compliance, stakeholder engagement, communications, and others.
- Ability to solve complex problems, recommend best practices, and develop new methods and process improvements.
- Strong project management skills and knowledge of project management best practices.
- Proven ability to prepare clear and concise reports, analyses, and presentations.
- Ability to analyze processes and recommend compelling process improvements.
- Strong quantitative skills with the ability to develop budgets, resource forecasts, performance metrics, and other quantitative methods to express progress.
- Ability to communicate effectively at all organizational levels.
Education and Experience Requirements:
- A Bachelor's degree is preferred, with a minimum of 4 years of related work experience. Equivalent years of experience may be considered if a degree is not held.
- Minimum four (4) years of project support experience in a project management environment.
- Three years of experience in the Domain Name, Internet Protocol, or a related industry preferred.
- Project Manager Certification (e.g., PMP) is preferred.
Language:
- Fluency in both written and spoken English is required.
- Fluency in any other official United Nations language is strongly preferred.
Working Conditions & Physical Requirements:
