About the Position

The Unified Government of Wyandotte County/Kansas City, KS (UG) is searching for an Administrative Support Specialist for the Clerk’s Office. The Clerk’s Office serves as the official records custodian for the Unified Government’s records. Our office is a collaborative and friendly team that does a little bit of everything; organizes Commission and Board meetings and minutes, maintains property tax records, manages Kansas Opens Records Requests, manages the UG Records Center, routes all incoming mail, and so much more.

We work to assist every department in the Unified Government, and this position provides an inside look at what it takes to organize and record the activity of a whole community government. The Clerk’s Office is at the heart of the UG and provides a panoramic view of the internal procedures that run your local government.

This position answers to the Deputy Clerk and will be assigned various duties, some that are directly the responsibility of this position and some that support other staff in their efforts.

Job Description:

The principal duties for this position include:

  • Respond to written, email, and phone requests for assistance.

  • Compile documents, records, and notes upon request.

  • Maintain the official written and digital record of resolutions, ordinances, and more.

  • Work in partnership with the Register of Deeds, Appraisers Office, Legal Department, and others across multiple software systems to manage and maintain property ownership records and updates.

  • Interact with the Mayor’s, Board of Commissioners’, and County Administrator’s Offices to prepare agendas, attend and clerk Standing Committee and Full Commission Meetings, file and record past agendas, documents, and minutes afterwards.

Over time the incumbent will have the opportunity to advance their skills/ specialize in other aspects of the office and complete tasks such as:

  • Maintain online schedules, notices, and agendas for the Board of Commissioners and Standing Committees.

  • Respond to or route Kansas Open Records Requests.

  • Work with UG records center to respond to internal records requests and complete archival tasks.

  • Route and deliver in-house mail for the entire UG.

  • Summarize Full Commission and Standing Committee minutes.

  • During Tax Season, help administer tax relief to eligible citizens under the Kansas Homestead and UG’s Utility/Sales Tax Rebate.

  • Receive and file claims for damages against the UG .

  • Help organize and deliver checks and payments upon request to other UG departments and contractors.

Qualifications:

High School Diploma or GED and experience working in an office/administrative setting or, any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Experience can be in the form of past employment, volunteer work, internships, student learning, etc.

Higher level education in public administration, communication studies, political science, economics, or other relevant disciplines is desirable. Former work experience in data entry, administrative or clerical positions, general office support, customer service, or other relevant fields is preferred. The UG serves a vast and diverse community and bilingual language skills are always a plus.

Minimum Skills and Knowledge

  • Basic office computer and software knowledge.

  • Ability to enter information into a wide variety of computer software.

  • Proficient in Microsoft Office. (Specifically, Word, Outlook, and PowerPoint)

  • Ability to seek out, utilize, and adhere to standard department policies and best practices to maintain high standards of accuracy and accountability.

  • Ability to communicate effectively orally and in writing.

  • Former customer service experience to best serve our internal and public customers be that via email, face-to-face, or over the phone.

  • Superb time management skills to meet consistent deadlines and support the proper functioning of the UG.

  • Ability to maintain composure under pressure.

  • Ability to work occasional evening hours to attend Commission meetings.
