This exempt role sits between the HIH/EHR Operations Coordinator and the Vendor Project Manager, focusing on analytical problem-solving, operational execution, and proactive issue identification across vendor, provider, and internal teams. HIH Operations Analyst – Job Description

Job Overview

This exempt role sits between the HIH/EHR Operations Coordinator and the Vendor Project Manager, focusing on analytical problem-solving, operational execution, and proactive issue identification across vendor, provider, and internal teams. The Analyst leverages strong Excel skills, critical thinking, and effective communication to ensure accurate, timely, and compliant Risk Adjustment Retrieval activities.

Key Responsibilities

Operational Reporting & Data Analysis

• Run, analyze, and interpret operational, inventory, and performance reports to identify trends, risks, and opportunities.
• Conduct advanced Excel-based analysis (pivot tables, lookups, formulas, data modeling) to support forecasting, retrieval progress monitoring, and SLA compliance reviews.
• Perform Confidence Factor or other risk analytics to support decision-making for outstanding inventory.
• Prepare summarized insights and recommendations for leadership and cross-functional teams.

Risk Adjustment Retrieval Support

• Manage and monitor the flow of medical record retrieval activities, ensuring accuracy and completeness.
• Review retrieval-related data for gaps, inconsistencies, or reconciliation needs and work with vendors or providers to resolve discrepancies.
• Support pend management and provider outreach follow-up activities.

Vendor & Provider Coordination

• Serve as a mid-level liaison to vendors, providers, and internal departments to address operational questions, clarifications, and workflow support needs.
• Support vendor performance monitoring by validating metrics, tracking deliverables, and identifying early signs of non-performance.
• Access and utilize various vendor platforms and systems to fulfill retrieval requests, upload/download records, validate statuses, and ensure accurate workflow execution.
• Process payments to vendors and providers, including payment validation, reconciliation, and issue resolution.
• Assist vendors and provider partners with operational inquiries, platform troubleshooting, or record delivery needs.

File Delivery & Status Reconciliation

• Assist in monitoring delivery of files, status reports, and data packages from vendors, confirming accuracy and completeness.
• Reconcile data discrepancies between internal and vendor reports, escalating systemic issues to the Vendor Project Manager.

Inventory Tracking & Process Monitoring

• Track and maintain inventory dashboards, ensuring transparency and alignment with client goals.
