Position Summary:
As the Executive Assistant you will be a key player in facilitating the smooth functioning of our executive team. You'll be responsible for coordinating and overseeing a diverse range of administrative activities for our assigned senior team, requiring a high level of responsibility, confidentiality, and independence.
Essential Duties and Responsibilities:
- Manage a complex schedule/calendar for the assigned senior team.
- Coordinate and negotiate domestic and international travel itineraries.
- Screen and handle telephone communications, greet and direct visitors.
- Organize and support complex international meetings and conferences.
- Prepare and manage expense reports, submitting to Accounting promptly.
- Organize special events, scheduling dates and times, venues, attendance, and facilities.
- Assist in the creation, modification, and preparation of various documents, ensuring accuracy and clarity.
- Conduct research, compile statistics, and gather data for reports and presentations.
- Proactively anticipate administrative needs, analyze situations, and recommend effective solutions.
- Maintain records and databases, ensuring accurate and up-to-date information.
- Collaborate on the coordination, supervision, and completion of special projects.
Requirements
Education and Experience Requirements:
- Bachelor’s degree (or equivalent) preferred.
- Minimum of 3 years of administrative experience, with at least 2 years providing support at the senior level.
Position Knowledge, Skills, and Abilities Required:
- Demonstrate a high degree of professionalism, initiative, and independence.
- Possess a high level of interpersonal skills to handle sensitive and confidential situations.
- Proficiency with Word, Excel, PowerPoint, and Outlook.
- Ability to prioritize and organize large volumes of information.
- Strong organizational, coordination, and project management skills.
- Detail-oriented with the ability to create, edit, and prepare materials.
- Record maintenance and database management skills.
- Ability to coordinate and organize meetings and special events.
