Requirements

Job Description 

We are looking for an HR/Office Administrator based in the San Francisco Bay Area with at least 1 year of experience in office coordination and/or administration. The ideal person will have experience in office coordination, human resources operations, and event planning and is looking to develop a career in Human Resources. 

  • Location: Santa Clara, CA.  
  • Remote Option: Hybrid – In-Office 3 days per week 

What you’ll do (Duties and Responsibilities):  

  • Assist the executive staff with various tasks, scheduling, travel arrangement, etc.
  • Assist with employee events such as birthday celebrations, office activities, annual anniversary and holiday parties, etc. 
  • Support the HR project manager with monitoring global HR team operations related to onboarding, offboarding, rewards & recognition, etc. and follow up with team members as needed to support efficiency, timeliness, and compliance 
  • Serve as a point of contact for new hires and employees, including orienting new hires to the office on their first day and being an informational resource on office/HR/company resources 
  • Distribute company swag to office visitors, customers, etc. 
  • Greet all external guests upon arrival and serve as a representative of the organization 
  • Manage ordering/stocking office food arrangements, groceries, and office supplies 
  • Manage the company phone line, as well as inbound/outbound mail and packages 
  • Assist with external meeting/interview logistics: guest arrival, catering, IT needs, room reservation, ensuring timely flow of interviews, booking conference rooms as needed, etc. 
  • Oversee office appearance, space planning, and desk set up 
  • Manage office improvement projects and repairs as needed 
  • Perform other HR and administrative tasks as requested 

 

What you’ll need (Basic Qualifications) 

  • 1+ years of office coordination and/or administrative/related experience 
  • Willingness to learn and develop their skillset in HR 
  • Strong attention to detail, high degree of accuracy, and organizational abilities 
  • Excellent oral and written communication 
  • Proactive, resourceful, “can do” attitude 
  • Strong interpersonal skills with the ability to work with different teams, seniority levels, and personalities 
  • A bias for action, adaptability, and comfort with wo
