Purpose
As the Senior Administrative Associate for Faculty Development, you will play a crucial role in organizing various faculty development programs and initiatives.
Responsibilities
Faculty Launch Program Strategic Administrative Support
Provide key administrative support for various strategic programs and goals of the Faculty Development team, including but not limited to programs supporting new faculty to UT, including orientation, continued academic year curriculum, and launch committees, and mentoring programming. Coordinate with units across campus during planning, arranging, and implementation of Faculty Development programs, trainings, workshops, and initiatives. Work closely with leadership to understand project goals, develop and implement timelines and communication plans, maintain project files, track milestones, prepare and monitor budgets, and see projects to successful completion. Organize communication with participants in faculty development programming.
Faculty Awards
Oversee administration of internal and external faculty awards. Setting timelines, coordinating communication with college and school contacts, updating intake processes, processing applicant awards packets for selection committee, and scheduling and facilitating faculty award committee meetings. Work closely with communications and other campus units to announce award recipients. Monitoring general resource email account and updating webpage. Expand faculty development programming by integrating internal and external awards into mentorship programming. Work closely with departments, the Office of the Vice President for Research and program mentors to develop award roadmaps for faculty. Work closely with leadership to understand develop and implement timelines and communication plans, maintain project files, track milestones, and prepare and monitor budgets. Provide key administrative support for the Harrington Fellows Program.
Administrative Executive Support
Assist in providing executive level support to the faculty development leadership (including the Vice Provost for Faculty Development and Director for Faculty Development) including scheduling meetings, meeting minutes and follow up communications, document management, payment processing, and task management. Coordinate with communications team to determine and execute timelines for strategic communications about Faculty Development programming. Provide detailed program information and materials to strategic partners. Track budgets for Faculty Development programming.
Other Faculty Development Support
Other duties as assigned.
Required Qualifications
Bachelor's degree and three years of experience in coordinating or administering program(s).
Proficiency in Microsoft Word, Excel, and PowerPoint
Ability to self-start, learn quickly, prioritize tasks, meet deadlines, and follow through on tasks. Demonstrated ability to solve problems as they arise.
Strong organization, time management, and written, verbal, and interpersonal communication skills.
Ability to develop collaborative partnerships with campus and community members.
Ability to interact positively and communicate clearly with supervisor, co-workers, and all constituents including faculty, staff, and students.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
UT administrative experience; knowledge of university policies and procedures
Expert level attention to detail, including documentation of standards for future work.
Demonstrated ability to manage multiple concurrent projects and time.
Demonstrated success in process improvement, project implementation.
Salary Range
$47,000 + depending on qualifications
