A Day in the Life

We have created a brand-new role for highly organized, and proactive Executive Assistant to support the General Manager (Vice President) of the General Surgical Technologies (GST) business unit and the Chief Medical Officer. The ideal candidate will excel in managing international travel arrangements, including flights, hotels, visas, and associated expenses. While diary management is not the primary focus, the role requires effective coordination and liaison with other executive assistants for high-level meetings. Proficiency in technologies such as Teams, email, video conferencing, and experience with Microsoft Co-Pilot is highly desirable. The Executive Assistant will also assist with offsite events and coordinate meetings with the leadership team. Confidentiality is paramount in this role.

Key Responsibilities: 

  • Manage international travel arrangements, including booking flights, hotels, and visas. 

  • Handle travel-related expenses and ensure timely reimbursement. 

  • Coordinate and liaise with other executive assistants for executive-level meetings. 

  • Assist with offsite events and coordinate meetings with the leadership team. 

  • Organize, coordinate and attend the GST Leadership Team monthly meetings and sharing summaries / actions after the meeting.  

  • Utilize technologies such as Teams, email, and video conferencing for effective communication. 

  • Maintain confidentiality and handle sensitive information with discretion. 

The location of this role is Lafayette, CO.

We may consider talent located in Minnesota or Boston.

Qualifications: 

  • Proven experience as an Executive Assistant or in a similar role.  (6+ years of experience)

  • Proficiency in Microsoft Teams, Excel, PowerPoint, Outlook, email, video conferencing, and experience with Microsoft Co-Pilot. 

  • Strong organizational and time management skills. 

  • Excellent communication and interpersonal skills. 

  • Ability to handle multiple tasks and prioritize effectively. 

  • High level of discretion and confidentiality. 

Preferred Skills: 

  • Experience in coordinating international travel and managing travel-related expenses. 

  • Familiarity with offsite event planning and coordination. 

  • Ability to work independently and as part of a team.
