Job Description:
This position is responsible for working with all Tennessee Oncology locations to assure each is ordering, receiving, tracking, maintaining, verifying and reordering all drug inventory needed to provide efficient and effective business operations. The CDIM Associate coordinates clinic drug inventory levels by ordering pharmaceuticals through direct accounts, vendors, and suppliers. The CDIM Associate is a resource for clinic staff answering inquiries about inventory availability and assisting with resolving shortages or managing MBOs. The CDIM Associate is actively involved in drug inventory process management, policy and process development as well as training of staff using the drug dispensing cabinets. S/he will perform special studies and execute inventory related projects, quality/process audits, and other duties required to assure fiscal integrity related to drug inventory levels.
ESSENTIAL FUNCTIONS:
- Purchases drugs from vendors for House Account and for clinic locations as needed
- Monitors and adjusts drug inventory to meet defined par levels
- Develops and maintains a good working relationship with drug vendors to facilitate purchasing of MBO drugs, vaccines, etc.
- Assist with tasks associated with indigent, off label and white bag drugs
- Works closely with PAS team to ensure all indigent, off label and white bag drugs are utilized and documented according to Tennessee Oncology (TO) standards
- Reviews usage of indigent drugs to ensure correct usage.
- Verifies drugs are replacement or future stock.
- Verifies information on packing slips are correct before sending to PAS Dept.
- Manages indigent drug over stock.
- Per PAS dept. request, sends overstock drugs for future indigent patient use out to clinics
- Per PAS dept. request, sends replacement drugs to clinics in a timely manner so accounts can be adjusted by collection team
- Reviews indigent drug activity report weekly.
- Reviews non-use or incorrect use of indigent drugs with clinical staff/manager.
- Assist with tasks associated with indigent, off label and white bag drugs
- Ships House Account drugs (quarterly buy-ins or daily requests) to clinics in a timely manner.
- Reaching out to manufacturers to attempt replacement for clinic waste.
- Reviews transfer report weekly to ensure drugs reach clinic locations within 48 hours. Communicates with clinics directly if drugs are not received within 48 hours
- Reviews clinic location inventory levels and assists with reallocation of drugs to optimize use and control drug on hand inventory. Monitors Can You Use spreadsheets for opportunities to manage enterprise-wide drug inventory
- Reviews quarterly, drugs not used within 60 days with designated clinic staff
- Runs and reviews monthly inventory reports
- Reviews pricing on generic drugs quarterly
- Reviews drug cabinet transfer report weekly to ensure drugs received are put in stock at all locations.
- Runs drug rep quarterly reports for House Account buy-in utilization
- Maintains up to date knowledge of Manufacturer Back Order (MBO) drugs and communicates to clinics.
- Consistently checks status of MBO drugs. Orders drugs from other vendors as needed
- Maintains up to date knowledge of drug cabinet reports to help clinic staff troubleshoot inventory discrepancies
- Maintains up to date knowledge of drug cabinet functionality and enhancements. Keeps current on drug cabinet updates and changes, working with vendor to resolve issues as needed.
