Overview
The Streets Cabinet is seeking an experienced Principal Administrative Analyst to assist with project management and contract administration including the Structures and Roads divisions. The portfolio will include state of good repair as well as transformative capital development projects serving the mobility, livability, and safety needs of the City of Boston.
The selected candidate will have excellent organizational skills and be experienced with managing workflow processes and documentation for an organization of comparable size and complexity. Ideal candidates will have strong communication skills and the ability to work with different disciplines and teams towards a common goal of efficiency and effectiveness.
Reporting to the City (Division) Engineer, the Principal Administrative Analyst will provide administrative, analytical, and/or budgetary support for projects within the Engineering Division of the Public Works Department.
Responsibilities
- Assists directors, program managers, and project managers with overseeing the activities of consultants providing design and construction services for Infrastructure and Design projects, including but not limited to key major projects such as the North Washington Street Bridge, Long Island Bridge, Meridian Street Bridge, Northern Ave Bridge, Cummins Highway, and Rutherford Avenue.
- Monitors projects and programs and tracks trends of key performance indicators, including, but not limited to, costs and schedule.
- Assists in developing, administering, and tracking capital budgets and/or contracts, including gathering information, monitoring expenditures, and recommending appropriate action regarding budget variances.
- Conducts a variety of special projects to improve the efficiency and effectiveness of the Department.
- Formulates and conducts financial, administrative, policy, and organizational analyses and research.
- Prepares analytical and forecasting reports, provides recommendations, and implements problem-solving strategies.
- Recommends strategies for process improvement and prepares justifications for staffing, facilities, equipment, production, and policy.
- Prepares confidential documents and maintains corresponding data.
- Advises management and staff regarding performance and funding matters related to Major Projects.
- Generates correspondence, reports, and presentations.
- Coordinates activities between Bridge Program staff and consultants performing duties related to the Owner's Representative services and Construction Management services.
- Manages and supervises staff.
- Performs related work as required.
Minimum Entrance Qualifications
- Applicants must have at least five (5) years of full-time or equivalent part-time administrative, managerial, or professional experience in Office Management, Contracts Management, and business administration.
- At least three (3) years of the required experience must have been in a professional capacity, and at least two (2) years must have been in a supervisory, managerial, or administrative capacity.
- Bachelor Of Arts Degree, Degree in Business Administration, Public Administration, or a related field is strongly preferred.
- Excellent communication, organizational, analytical, and presentation skills are strongly preferred.
- Knowledge of project management processes related to roadway and bridge design and construction, including the management of consultant contracts, is strongly desired.
- Proficiency in Microsoft applications and Google Suite.
- Excellent knowledge of Municipal budgeting and financial systems, regulations, and processes is strongly preferred.
- Ability to exercise good judgment and focus on detail as required by the job.
