Summary:

The Rollins College Department of Health Professions is seeking a part-time, action-oriented Administrative Assistant. This role will support key functions within the department, with two-thirds of the responsibilities dedicated to the ABACS program for clinical administration tasks and one-third focused on general administrative work for the Health Professions Department.

Primary Responsibilities

  • Drafting and typing routine correspondence, syllabi, tests, reports, forms, and memos.
  • Answering calls, answering questions, routing calls to appropriate parties, and recording messages.
  • Scheduling meetings and conferences; coordinating travel arrangements.
  • Taking minutes for department and program meetings.
  • Managing department mail.
  • Keeping track of requisitions for office supplies.
  • Processing purchase orders, requisitions, book orders, invoices, payroll forms, reimbursement forms, etc.
  • Setting up and maintaining student records and files.
  • Assisting Department Chair and faculty with administrative duties and projects.
  • Updating of faculty schedules each semester, and posting of class changes and cancellations as necessary on a day-to-day basis
  • Ordering equipment through IT as needed.
  • Posting on program social media, update basic information on program website

Minimum 
Qualifications & Education:

  • High School degree.
  • At least one year of job related administrative, customer service experience.

Preferred Qualifications:

  • Bachelor’s degree from an accredited College or University.
  • Experience with Banner, Canvas and/or Chrome River platform systems.
  • Administrative work experience at a higher ed institution.

Knowledge, Skills and Abilities:

  • Proficiency with computers and MS Office Suite software (i.e. Word and Excel).
  • Strong problem-solving skills and the ability to interact tactfully and judiciously with the public, students, and staff.
  • Excellent oral and written communication skills for maintaining and updating files, logs, reports, and correspondence.
  • Effective organizational and time management skills.
  • Ability to prioritize tasks and manage multiple demands efficiently.

Work Schedule:

  • The Administrative Assistant role is a part-time, 12-month appointment, scheduled to work 20 hours per week, 1,040 per year. 
  • Work hours are Monday - Thursday between the core hours of 1:00pm - 6:00pm. Schedule will be discussed during the interview process. Flexible schedules and/or overtime may be required to meet business needs.

Work Environment:

  • Campus-based, front-facing customer service position, working in an office environment with other staff members.
  • Regular use of a computer and databases.
