As Vanta’s SF Office Manager and People Ops Associate, you will play a key role in driving our Workplace and People programs while working closely with many cross functional partners.

You will play a critical role on our Workplace and greater People Ops team by directly managing our San Francisco office while also supporting global, company-wide programs including company events, onboarding, performance management, engagement surveys, and more. You will have the opportunity to iterate on existing Workplace and People processes, and translate business needs into scalable and repeatable solutions.
The ideal teammate is motivated, collaborative, has a positive attitude, and operates with both urgency and a great attention to detail. This role reports into our Senior Manager of People Ops, and will also work closely with our Senior Global Workplace Manager and People Operations Associate.
The ideal candidate for this role will be passionate about making our SF Office a welcoming, thriving space, and excited to develop their greater administrative and HR chops by both managing and supporting greater People/HR programs and systems.
What you’ll do as our SF Office Manager & People Operations Associate at Vanta:
Work with our Senior Global Workplace Manager to build programming and processes for our SF Office, and support on company-wide Workplace programming and initiatives.
Manage the day-to-day operations of our San Francisco office, including facilities maintenance and repair, events, processes, policies, and communications.
Drive the culture of our SF Office and serve as the in-person, main point of contact for all SF Office needs and questions.
Oversee and sort incoming mail and packages at the SF Office. Additionally, manage all HR (People Ops) mail, which includes filling out unemployment claims, fulfilling employment verifications, etc.
Provide tactical support for People/HR programs such as building performance reviews and engagement surveys, and benefits (i.e. compiling calibration sheets, creating compensation memos, pulling and creating automated data reports, etc).
Drive and iterate on our existing onboarding process, from inputting I-9s, to scheduling onboarding session presenters, to answering new employee’s questions to make the new hire experiences the best it can be.
Maintain data integrity in our HRIS, ensure any employment changes are reflected in our HRIS, and organize and maintain employee records with the utmost confidentiality.
Support benefits administration in our international entities
Ensure compliance with federal, state, and local employment laws and regulations.
We anticipate the person in this role will dedicate ~55% of their time supporting the San Francisco Office and Workplace-specific programs, and ~45% of their time supporting the broader People Ops team.
While this is a flexible, hybrid role, the expectation is for the SF Office Manager to have a strong, in-person presence, working from our Hayes Valley office 3-4 days per week.
How to be successful in this role:
Prior experience with office or facilities management, including developing and executing on employee programming and events.
Prior experience in Workplace or People Ops at a high growth start up (though this is not required).
Confident with technology and able to pick up new systems quickly. Proficiency in HRIS systems is a plus.
Have excellent organizational, administrative, and problem solving skills.
Have excellent professional verbal and written communication skills and be able to communicate with team members across all levels effectively.
Be able to leverage the tools at hand to drive your workflow.
Thrive under pressure and have a willingness to roll with the punches.
Operate with a high sense of ownership and urgency.
Have working knowledge of G-Suite (for calendar, email, and docs), Slack, and Zoom.
