Position Overview

The HR Assistant is responsible for supporting the human resources department. Works with the Regional HR Generalist and other team members to maximize the efficiency of the department in support of the organizational goals and standards.

 

Key Responsibilities (Essential Duties and Functions)

  • Maintain HR records and related electronic databases such as employment files; DOT qualification files, performance reviews, I-9 documentation and more.
  • Administration of new employee onboarding including offer letter preparation, coordination of pre-employment screenings and paperwork; communicating with applicants and hiring managers, conducting new hire orientations and attending job fairs.
  • Assist with the hiring process, including offer letter preparation, coordination of pre-employment screenings, conducting new hire orientations and attending job fairs.
  • Ensure the proper paperwork is completed timely and accurately for new hires, employee changes and unemployment reporting.
  • Assist with administrative responsibilities include, but not limited to, data entry, scanning, filing, tracking information, etc. regarding employee forms and documentation.
  • Assist the recruiting specialist and hiring managers with requests including posting available positions, scheduling and applicant communication.
  • Answer incoming HR phone calls and inquiries.  Respond to employment verification requests.
  • Assist with employee leave of absence tracking and paperwork.
  • Assist with preparation, tracking and presentation of employee training.
  • Administer drug testing policies and processes across the business.
  • Assist procurement and AP with coding and processing HR purchase orders and invoices.
  • Provides outstanding customer service when answering employee requests and questions or by directing those to applicable resources as appropriate.
  • Maintains a professional demeanor when dealing with critical and/or confidential information.  Restricts discussion/knowledge of information to a “need to know” basis.
  • Maintains knowledge of applicable state, local and federal laws related to human resources.
  • Complete project work assigned.
  • Other duties and projects as assigned.

Education/Experience

  • High School diploma or general education degree (GED) required.
  • Associates degree (A. A.) or equivalent from two-year college or technical school preferred; and 1-3 years related experience; or equivalent combination of education and experience preferred.

 

Work Requirements

  • Must be 18 years in age or older.
  • Must pass pre-employment drug screen and criminal background check.
  • Valid state driver’s license and satisfactory driving record is required.
  • Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • Must be willing to work nights and weekends when necessary.

 

Knowledge/Skill Requirements

  • Must be proficient in Microsoft suite of tools including Excel, Word and Outlook, and database software.  Must be able to utilize internet and communicate effectively. 
  • Ability to summarize data from different sources into a concise format that can be easily expanded and communicated to support initiatives.
  • Highly developed verbal and written communication skills.
  • Ability to follow complex verbal and written instructions.
  • Demonstrate a hands-on, collaborative approach, work well in a team.
