Description
Purpose:
The Sales Coordinator supports the community’s overall sales and marketing efforts by assisting in lead management, conducting tours, and maintaining relationships with prospective residents and families. This role plays a key part in supporting occupancy and revenue goals by participating in daily sales operations and ensuring exceptional customer service throughout the prospect experience.
Scope & Status:
Non-Exempt The Sales Coordinator reports directly to the Director of Sales. Relationships: The Sales Coordinator is expected to maintain positive, professional relationships with the following individuals and representatives:
a. Key management staff, department directors, nurses and direct care staff.
b. Consultants and Vendors
c. Physicians, Nurses, Case Managers, Social Workers and Health Care Providers
d. Residents, family members, support groups and referral sources
e. Federal, County, State and City officials
Requirements
Qualifications:
To perform this job successfully, an individual must be able to perform and complete each essential duty satisfactorily.
• Basic working knowledge of sales and marketing as it relates to senior housing.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills with empathy and patience.
• Detail-oriented with ability to track multiple move-ins simultaneously.
• Problem-solving mindset to address unexpected challenges during move-ins.
• Assumes personal accountability of assigned duties and completes task in a timely and accurate manner. Ability to define specific, measurable, attainable, relevant, timely goals and objectives.
• Able to clearly present information, accurately communicate, provide necessary level of detailed service even under stressful or demanding conditions.
• Able to work a flexible schedule, which may include but not limited to evenings, weekends, and holidays.
• Strong organization skills, able to multi-task, and can manage time to meet frequently changing deadlines in a fast-paced environment.
• College degree in Marketing or a related field preferred

Responsibility:
1. Planning
a. Assists the Director of Sales in the development of the annual marketing plan, including a quarterly competitive analysis.
b. Successfully organizes and implements the marketing plan on a daily basis; utilizes QSLM approved reports to inform leadership team of census, lead development, tour planning and up-coming admissions. Know budgeted census, net admission goals and actual census at all times.
c. May help plan quarterly in-house signature events and other lead targeting events designed to educate the community on the services and strengths of QSLM.
d. Practices excellent time management skills and completes tasks within company time frames.
2. Direction and Implementation
a. Work under the guidance of the Director of Sales to understand and achieve monthly, quarterly, and annual sales goals.
b. Coordinate move-in dates and times with families, residents, and internal teams. Implement best practices to streamline move-ins, reduce errors, and enhance resident experience.
c. Demonstrates and is able to verbalize a solid understanding of QSLM’s position and strengths as they relate to selling and marketing.
d. Utilizes the CRM daily in order to document inquiries, deposits, admissions, census, schedule, advertising and sales calls.
e. Introduce residents to neighbors and key staff members to foster engagement and comfort.
f. Collaborate with sales, operations, and support staff to ensure apartments are move-in ready. Communicate resident-specific needs, preferences, and special requests to appropriate teams including key distribution, and transportation if needed.
g. Models professionalism, compassion and courtesy at all times.
h. Ensures that model rooms are available and ready for viewing at all times.
i. Assist with event coordination.
j. Supports the Director of Sales to achieve four to six admissions per month for success. An admission is defined with the following parameter: 30+ day stay. Any stay less than 30 days is defined as a respite stay. Ensures that admissions occur successfully and effectively communicates all resident care issues to the appropriate departments (maintenance, dietary, activities and wellness). Follows-up with residents and family members after an admission; and passes responsibilities of operations and care to the appropr
