ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential responsibilities include, but are not limited to, performing the following regularly or as a backup:
- Manage record keeping for all contract-related correspondence and documentation
- Provide contract-related issue resolutions, internally and externally
- Share contract notice requirements with project managers and management, including Certificates of Insurance (COI’s)
- Communicate contract-related information to all stakeholders
- Coordinate payroll review for Detailing, Sheetmetal and Pipefitting shops
- Assist payroll department with Union Compliance
- Understand and provide insurance information on new jobs
- Follow up on contract executions and required paperwork
- Update EMCOR’S Pipeline
- Setup construction jobs in the accounting software
- Assist Accounting with Change Order Logs and submissions
- Assist Accounts Payable with subcontract compliance and reporting
- Participate in the procurement function for the contracts department (writing Pos, issuing COI’s, etc.)
- Review contracts for key clauses related to subcontracting, union requirements, sales tax issues, among others
- Provide advice, guidance, and direction to carry out contract administration consistent with Company established policies
- Escalate critical and/or sensitive issues to management with recommendations for resolution
- Comply with all Company operating policies, procedures, and safety programs as established
- Perform additional assignments as required by the operating needs of the Company or as directed by the management team
POSITION REQUIREMENTS / PREFERRED SKILLS & COMPETENCIES
- 5+ years related experience in contract administration; construction industry preferred
- High School diploma or GED required
- Associate’s degree from an accredited college or university desired; paralegal certification acceptable; Pursuing a bachelor's degree preferred
- Knowledge of the construction industry and contracting practices
- Working knowledge of federal, state and local regulations and guidelines
- Must demonstrate proficiency in Microsoft Office applications (i.e.: Outlook, Word, Excel, etc.)
- Familiarity with project management, document control software and construction/financial software packages
- Must demonstrate professionalism, integrity and unquestionable ethics and is a respectful team player.
- Must be self-motivated and able to work efficiently in a fast-paced environment
- Must have excellent organizational, communication, strategic, technical, analytical, problem-solving, and multi-tasking skills
- Must have high standards of quality with attention to detail
- Must possess ability to manage and supervise personnel
- Must build positive working relationships with multiple levels of employees, management, suppliers, and customers
LANGUAGE SKILLS
Must have the demonstrated ability to effectively communicate in English, cooperate and collaborate with multiple levels of customers, employees, unions, government agencies, vendors and suppliers, and other contractor organizations.
