Job Summary:

The Psychiatry Section of Perinatal, Reproductive, and Early Childhood has an opening for a full-time Principal Clinical Program Administrator to oversee business operations and monitoring of this dynamic section, which crosses the Adult and Child divisions. Job duties include collaborating with the medical and executive directors of Women, Infants, and Families section to supervise clinical operations, strategy, research operations, and finances of the section and the divisional parts of the section. The Business Services Section Manager will work closely with this role. This Principal Clinical Program Administrator manages a diverse portfolio of funding sources including clinical revenue, grants, advancement, and contract income. They work closely with partners to oversee clinical operations, including productivity, referral activities, and revenue cycle.

The Principal Clinical Program Administrator works closely with the Section Administrator to oversee day to day activities within our outpatient setting, including clinic workflows, data management, process improvements, and more. This position partners with three faculty Program Directors on day-to-day activities aimed at implementing continuous data-driven quality improvement, increasing engagement, manage budgets, and optimize program support and access.

 

Key Responsibilities:

40% – Administrative Leadership

  • Manage administrative day to day operations, such as supply ordering, office space management, and coordinating with facilities, ensuring alignment with organizational goals and compliance with university, state, and federal regulations.

  • Lead faculty appointment processes, recruitment, and onboarding, serving as a subject matter expert on institutional policies and best practices.

  • Establish marketing and branding that maintain CU and CHCO standards while driving community engagement.

  • Facilitate and guide high-level meeting coordination, including agenda development and strategic documentation for service line and leadership forums.

  • Drive and manage workflow process improvement initiatives across the section, applying advanced project management methodologies to optimize efficiency.

10% – Financial Stewardship

  • Provide oversight of program and grant budgets, including forecasting, financial analysis, and recommendations for funding adjustments.

  • Ensure fiscal integrity by interpreting and applying university financial policies and compliance standards.

  • Lead procurement, including purchasing, invoicing, and expense reconciliation, ensuring cost-effectiveness and adherence to regulations.

20% – Operational Strategy

  • Partner with Section Manager and Division Administrators to set direction for billing optimization, productivity, and revenue cycle performance.

  • Design and implement processes to streamline clinical workflows, leveraging specialized knowledge of operational best practices.
