As a Travel Coordinator at IWILLGOTRAVEL, you will play a pivotal role in ensuring seamless travel experiences for our esteemed clients while having the chance to continuously learn under the mentorship of the CEO, Will.
📊 In this role, you will be:
- Working closely with the CEO, providing administrative support, and assisting with daily tasks and activities
- Managing and organizing the CEO’s calendar, including arranging meetings, coordinating appointments, and handling travel arrangements.
- Researching pricing and availability for hotels and airlines.
- Managing and maintaining the company’s CRM database, ensuring accurate and up-to-date records including travel itineraries.
- Creating and documenting itineraries in their itinerary planning software called Access.
- Coordinating and planning travel itineraries for the CEO and clients.
- Communicating with external suppliers to secure pricing, availability, and confirming the status of client bookings.
- Supporting the CEO in various projects, including event planning, marketing initiatives, and data analysis.
- Coordinating and prioritizing incoming requests, emails, and calls, ensuring prompt responses and appropriate follow-ups.
During the onboarding process, you will be provided with all of the necessary training materials that would equip you for smooth adaptation and enable you to hit the ground running.
This is a full-time position with working hours from 12 PM to 9 PM CET, Monday to Thursday, and an earlier finish on Fridays. You will report directly to the CEO, assisting him in managing his calendar and providing essential support for the travel planning process.
Requirements
To excel in this role, you need to have:
- Work Experience: You have a minimum of five years of work experience in a high-pressure, fast-paced environment, whether it's in a bank, law firm, or supporting a CEO.
- Excellent English Communication: You possess outstanding English communication skills, both written and verbal. Your ability to articulate ideas and information clearly and effectively ensures seamless communication with clients.
- Attention to Detail: You have a meticulous eye for detail and take pride in delivering flawless work. Your exceptional attention to detail ensures that every aspect of travel planning is executed to perfection, leaving no room for errors or oversights.
- Organizational Skills: Your strong organizational skills allow you to juggle multiple tasks, manage calendars, and maintain databases efficiently. You thrive in a well-structured work environment and can prioritize and meet deadlines without compromising on quality.
- Travel Industry Experience: You have previous experience in the travel industry, giving you a solid foundation and understanding of the intricacies and nuances of travel planning. Your knowledge of destinations, travel trends, and customer preferences adds value to the role.
- Proficiency in using in-house CRM systems and travel planning software. Your familiarity with these tools empowers you to navigate complex databases, efficiently manage client information, and create meticulously tailored itineraries.
