CRM Admin Assistant

This is a remote position.
Schedule:- 35-40 hours per week (starting at 5:00/6:00 am, UK time)

We are looking for a proactive and detail-oriented Sales Assistant to support our team with CRM management, reporting, and executive-level administrative tasks. The ideal candidate is highly organized, tech-savvy, and able to take initiative in managing both client and internal team requirements.
CRM / Pipedrive Management
- Add and update leads, organisations, and contacts in Pipedrive.
- Maintain accurate deal values, statuses, labels, and weightings.
- Upload team call notes under correct headings.
- Tidy up regions, apply regional champions, and ensure data remains clean and organized.
- Gather necessary details for projects and leads.
- Email questionnaires to estimators and supply chain managers.
- Run reports using Pipedrive Insights.
- Support with administrative drivers such as job categorization (e.g., Whale, Driver, GBS).
Executive Assistant (EA) Support
- Manage diaries, coordinate schedules, and attend daily huddles.
- Prepare and send HB’s daily huddle action list.
- Draft and send professional emails on behalf of team members.
- Take notes via transcription tools during team calls, then organize and upload to Pipedrive.
- Manage inboxes and follow through on administrative requests.
Contact & Organisation Updates
- Use software tools to source accurate contact information (emails, mobile numbers).
- Update contacts and ensure they are tied to the correct organisations and projects.
- Maintain clear and accurate associations between contacts, deals, and organisations.
Reporting & Documentation
- Review and distribute Barbour reports to the team.
- Generate and circulate internal reports (e.g., CR Deals without Contact, Declined Jobs, Whale, Driver, GBS).
- Support the Declined Jobs process setup.
- Submit credit card expenses to finance contacts (e.g., Lyndsey or Caitlin).
Planner & Administrative Support
- Keep the Live Planner updated and accurate.
- Verify task completion across deals, projects, and reports.
- Provide administrative support to team leads to ensure smooth workflow.
- Use Outlook, MS Teams, and WhatsApp daily for communication and coordination.
Requirements
Strong proficiency in Microsoft Office (Outlook, Excel, Word, Teams).
Experience with CRM systems, preferably Pipedrive.
Excellent time management and organizational skills.
Previous experience in EA/PA or Sales Support roles, including diary and inbox management.
Strong written and verbal communication skills.
Ability to work independently, proactively, and accurately under minimal supervision.
Comfortable handling multiple priorities in a fast-paced environment.
