Position Summary

The Front Office Representatives help create an environment and culture that enables us to fulfill our mission to provide exceptional patient service while performing all aspects of front office including but not limited to; check-in, check-out, call center, medical records and scheduling. The ideal candidate would be an individual seeking to focus on customer care in the healthcare space.


Essential Functions

An individual must be able to perform each essential function satisfactorily with or without accommodation. The requirements listed below are representative, but not all inclusive, of the knowledge, skill, and/or ability required.


Responsibilities

  • Screen potential and existing patients, by telephone and in person, to determine appropriate appointment time; alert physician of patients that require immediate attention
  • Schedule patient appointments following office protocols (SOPs)
  • Prepare charts for appointments; print daily appointment list for provider, type and create new patient chart
  • Check patients in for appointments; verify insurance and demographic information at each visit, collect co-payments and patient balances
  • Copy insurance card and any other needed information
  • Place chart, other medical records and (if applicable) hospital/ER reports in rack for physician consideration
  • Inform patients of delays or other situations that may result in a longer than normal wait
  • Describe policies and procedures to new and established patients
  • Check out patient after they've seen the physician; schedule return visit as needed
  • Perform pre-certification and/or referrals as needed
  • Scan demographics, insurance cards and reviewed/corrected encounter forms
  • Confirm approved Medicare diagnosis is used for every Medicare charge
  • When patient is referred to another office, have medical records release signed and gather needed information for patient to take with to appointment (i.e. records)
  • Pull patient charts and other documents for correspondence; route charts to physician desk as needed
  • File all patient charts
  • Copy, scan and mail documents, forms, and charts, as needed
  • Perform insurance denial follow up and A/R follow up as requested
  • Update patient charts by inserting medical records or other documentation related to their care
  • Answer phones; take and relay messages; refer callers to other departments as
    needed
  • Maintain a current phone list of often used numbers including emergency rooms, police and fire departments, social service agencies, hospital departments, physical and or occupational therapy agencies, home health agencies, nursing homes
  • Remain current on medical records issues including documentation, record release, confidentiality, record keeping and retrieval
  • Witness informed consent process upon physician or coworker’s request
  • Keep the reception/waiting area clean at all times; discard old and torn magazines and books
  • Assist with copying of forms and creation of paper charts
  • Obtain insurance authorization timely and effectively
  • Attend and participate in all staff and front office meetings
  • Any duties or projects as assigned by the Front Office Manager


Requirements

Qualifications

  • High school diploma or GED required
  • One year medical office experience, preferred
  • Bilingual in English and Spanish, preferred


Knowledge/Skills/Abilities/Talents

  • Knowledge of medical practice procedures and functions, preferred
  • Knowledge of insurance and billing procedures including Medicare, Medicaid, preferred
  • Previous experience with telephone systems and office equipment including copiers, adding machines, fax machines and computers
  • Knowledge of medical records policies including state and federal compliance, preferred
  • Knowledge of medical terminology, preferred
  • Previous experience with insurance authorizations
  • Good oral and written communication skills
  • Ability to develop and maintain effective and professional working relationships with patients, medical staff, coworkers and the public
  • Ability to react calmly and effectively in emergency situations
  • Ability to interpret, adapt and apply guid
