Job Description:
Degree Audit Specialist
Major Purpose:
The Degree Audit Specialist is a professional administrative role within the Registrar's Office
responsible for evaluating and maintaining accurate degree audits and verifying degree completion.
The Specialist coordinates and performs a variety of functions related to academic records,
including maintaining student records, processing graduation applications, guiding students through
the graduation process, and providing clear and timely communication regarding graduation status.
This position requires frequent and effective collaboration with academic departments, advisors,
and students to ensure accurate application of degree requirements and policies.
Performance Measurements:
- Perform comprehensive degree audits for students to determine progress toward degree completion and graduation eligibility;
- Interpret and apply academic policies, degree requirements, catalog rules, and program curricula accurately;
- Evaluate transfer coursework, substitutions, waivers, and exceptions in accordance with institutional policy;
- Process graduation applications and confirm fulfillment of all degree requirements;
- Maintain and update degree audit systems to ensure accuracy of rules, exceptions, and student records;
- Run reports within current office systems to track and maintain an accurate list of all applicants and degree candidates;
- Collaborate with Departments, Faculty, and Advisors to resolve complex degree requirement issues;
- Respond to student, faculty, and staff inquiries regarding degree requirements, academic progress, and graduation status;
- Identify discrepancies or data issues in student academic records and initiate corrective action;
- Process curriculum changes Ensure compliance with FERPA, accreditation standards, and institutional policies;
- Generate reports related to degree completion, graduation statistics, and audit outcomes;
- Participate in commencement preparation and graduation certification activities; and
- Contribute to continuous improvement of degree audit processes and documentation
Qualifications Education/Certifications
- Bachelor's degree;
- Experience working in a Registrar's Office, academic advising, or related higher education setting;
- Strong knowledge of academic policies, degree requirements, and student records;
- High attention to detail and accuracy; and
- Ability to interpret complex academic regulations and apply them consistently
