Pritchard Industries is a dynamic and innovative provider of comprehensive facility services, dedicated to enhancing the operational efficiency of our client partners in the industries we serve. With services from facility maintenance and janitorial to landscaping and snow removal, we enable desired outcomes for our clients through consistent service and outstanding people. We are seeking to hire a Leaves and Benefits Administrator to join our team. This is a fully remote opportunity, but must reside in the Central and Eastern time zone.

This role is responsible for two large aspects of our HR Administration Department: Benefits and Leaves of Absence. This person is responsible for running employee leave programs and managing benefits packages, ensuring compliance with company policies and legal requirements. This role involves managing leave requests and researching, understanding, and providing guidance on leave laws such as FMLA, ADA, and other applicable regulations. They also manage our benefits package, working with employees, brokers, and providers.

Key Responsibilities:

Benefits Administration (65%):

  • Assist employees with benefits enrollment, changes, and questions regarding our benefits package, including but not limited to: health, dental, vision, life insurance, and 401(k) retirement plans.

  • Conduct benefit orientations and open enrollment sessions.

  • Serve as the point of contact to coordinate with benefits vendors, brokers, and providers to resolve employee concerns.

  • Ensure compliance with COBRA, HIPAA, and other benefits-related regulations.

  • Process benefits-related paperwork and maintain accurate records.

  • Be the Subject Matter Expert of all benefit related issues.

Leave Administration (35%):

  • Process and track all leave requests, including FMLA, leave under ADA, short-term and long-term disability, parental leave, personal leave, and other company-sponsored leave programs.

  • Research, understand, keep up to date, and ensure compliance with federal, state, and company leave policies, as well as best practices for our industry.

  • Serve as the point of contact for employees regarding leave inquiries, providing timely responses.

  • Coordinate with the Payroll Team to ensure accurate leave pay calculations.

  • Work with managers and employees to educate and communicate about leave requests.

  • Maintain and update leave records in HR systems (UKG).

  • Be the Subject Matter Expert of all leave related issues, and continually improve our processes and programs.

Compliance and Reporting:

  • Stay updated on changes to leave and benefits laws and regulations.

  • Maintain accurate documentation and generate reports as needed for compliance audits.

  • Assist with policy updates and recommend improvements to leave and benefits programs.

  • Employee Support and Communication:

  • Provide guidance to employees regarding leave eligibility, benefits options, and claims processes.

  • Work with managers and HR teams to ensure smooth transitions for employees on leave.

  • Address employee concerns in a timely and professional manner.

  • Provide a world-class customer experience for Pritchard employees.

Qualifications:

  • 2+ years of experience in leave administration, benefits management, or HR-related roles.

  • Bilingual in English/Spanish preferred.
  • Strong knowledge of FMLA, ADA, COBRA, and other applicable labor laws.

  • Experience with HRIS and benefits administration platforms, specifically UKG.

  • Advanced knowledge of Excel and the ability to create reports. Understanding formulas such as Xlookup and Pivot tables is strongly preferred.

  • Detail oriented with strong analytic skills.

  • Excellent communication, organizational, and problem-solving skills with experience in resolving employee inquiries via phone, email, or in person.

  • Track record of taking initiative and owning processes.

  • A proven ability to exercise a high degree of confidentiality, discretion and diplomacy.

  • Ability to work well independently and on a team.
