Description

We are seeking candidates for our Executive Assistant position.

SUMMARY: The Executive Assistant provides reliable administrative support to the President/CEO and members of the leadership team. This position requires a self-motivated, task-oriented, and highly professional individual. The executive assistant must be extremely organized, pay close attention to detail, maintain strict confidentiality, and be able to manage multiple projects in a fast paced, constantly changing environment. This position is on-site in York, PA, Monday through Friday, with occasional evening hours.

Requirements

ESSENTIAL DUTIES AND RESPONISBILITIES

Include the following. Other duties may be assigned.

  • Be committed to the vision and mission of Community Progress Council, Inc.
  • Maintains strict confidentiality of all business transacted by the President/CEO and the agency.
  • Initiates and/or manages email, telephone, mail, etc. communication on behalf of Administration.
  • Maintains an organizational structure for the company’s computer-based filing system/intranet. Trains other staff as appropriate.
  • Manages the President & CEO’s appointment calendar. Assists the CEO in preparing for meetings.
  • Receives and records incoming checks. Distributes checks to fiscal. Communicates receipt of donations to the Leadership Team.
  • Regularly updates COPOS to reflect CPC’s compliance with the CSBG Organizational Standards and coordinates the agency’s annual calendar of activities with members of the Leadership Team.
  • Provides administrative support to the Board of Directors and the Leadership Team. Independently initiates and monitors follow up tasks.
  • Maintains and continually updates the agency’s comprehensive stakeholder/donor database.
  • Acknowledges all contributions to CPC within 10 business days of receiving a gift. Adheres to all legal requirements when acknowledging contributions.
  • Collaborates with other administrative support staff to maintain meeting room schedules for the agency.
  • Maintains office equipment and supplies.
  • Drafts and maintains administrative policies and procedures for review and approval. Ensures timely communication of policy/procedural updates throughout the organization.
  • Performs research and/or collects information to compile reports and other documentation.
  • Assists in organizing and implementing programs, events, or conferences.
  • Arranges travel plans and itineraries, compiles documents for travel-related meetings.
  • All other duties as assigned.

EDUCATION and EXPERIENCE: Bachelor's degree (B. A.) from an accredited four-year college or university plus one year of related work experience; Associate’s degree in Office Management and three (3) years of administrative experience; or a high school diploma and equivalent combination of education and experience.

OTHER REQUIREMENTS: Ability to be reached by phone in a timely manner. May be required to commence workday at different agency sites or travel between sites within the workday. Ability to respond to change in a productive manner and handle other tasks as assigned. The ability to work with diverse individuals is required. Flexibility to work nights and weekends is required to meet the needs of clients and programs.
