Position Overview and Responsibilities:

The Florida Department of Environmental Protection’s Division of State Lands serves as Florida’s lead agency for environmental management and stewardship and acts as staff to the Board of Trustees of the Internal Improvement Trust Fund (Board of Trustees). The Division of State Lands work goes far beyond land acquisition. The Division oversees more than 12 million acres of public lands across Florida, including lakes, rivers, and islands. These lands provide opportunities for residents and visitors to explore, connect with and appreciate Florida’s one-of-a-kind natural landscapes. 

 

The Bureau of Public Land Administration (BPLA) is the Board of Trustees’ real estate administration program. BPLA is responsible for the management, administration, protection, and conservation of state-owned lands, as well as generating revenue on state land through a variety of instruments benefiting the  Board of Trustees.  BPLA staff perform its duties on behalf of the Board of Trustees and works with state agencies, state universities, local governments, and the public to meet the state’s real estate needs through the administration of state land inventories. These activities involve over 3 million acres of upland property, as well as the 9 million acres of sovereignty submerged land held in trust by the  Board of Trustees.

 

This is for a full-time 40 hours per week OPS position to:

 

  • Assist the Bureau Chief of Public Land Administration with office administrative functions.
  • Assist with the maintenance of the file room.
  • Independently coordinate, conduct, organize, evaluate, and research the review of historical files and scan documents for retention. 
  • Assist in fulfilling the division’s noticing requirements per statute, including maintaining noticing contact lists, preparing correspondence, sending notices, and maintaining files to insure receipt of documentation.
  • Provide administrative support to staff to include receiving and distributing mail; recording, tracking, and reporting assignments; managing meeting reservations and calendars; tracking correspondence control assignments and ensuring timely submittal of responses; making travel arrangements; providing file research, organization, and records retention support; assisting with property inventory tracking; answering telephone calls in a professional, courteous and effective manner; and accurately transmitting information to the appropriate staff.
  • Assist with supply, equipment. and space needs.
  • Perform special projects when assigned.
  • Perform other duties as assigned.

 

Required Knowledge, Skills, and Abilities:

Knowledge of: Standard business formats and styles for letters and business forms; office procedures and practices; the principles and techniques of effective communications; and the methods of data collection. 

 

Skill in: Using a computer. 

 

Ability to: Organize files and other records; compile and analyze data for administrative decisions; organize and maintain records management systems; perform basic arithmetical calculations; use correct spelling, punctuation and grammar; type letters, memoranda and other standard business forms in correct format; operate general office equipment; handle telephone calls in a courteous and effective manner; plan, organize and coordinate work assignments; communicate effectively; establish and maintain effective working relationships with others; and demonstrate teamwork..
