About the role:
We are looking for a Team Leader, Senior Meeting Planner, Conventions and Internal Events to join our dynamic team. In this client-facing role, you will act as the event planning lead and project manager. You will collaborate with peers and vendors alike to ensure each event is executed flawlessly from site selection to registration, to room set & menu planning through onsite execution, budget reconciliation and everything in between. As a Senior Meeting Planner/Team Lead you will:
• Act as the main point of contact for your client, and ensure all milestones are clearly communicated and met. Be consultative in your approach. Afterall, you are an expert in event management.
• Develop a thorough understanding of supported Business Units (BUs) and their specific needs to guide program execution effectively.
• Set clear performance expectations for staff, monitor progress, and ensure deliverables are met while managing workload balance.
• Oversee compliance with BCD Meetings & Events standard operating procedures (SOPs) and develop customer-specific SOPs as required.
• Ensure adherence to internal controls, audit procedures, and client financial and regulatory policies for all programs.
• Lead weekly meetings with planners and service providers to review project status, identify needs, and ensure program alignment.
• Manage and allocate workloads for direct reports, ensuring talent development and resource availability to meet both current and future needs.
• Coordinate and oversee all event details, including budgeting, vendor management, logistics, and on-site execution, while ensuring client satisfaction and compliance.
• Review and reconcile program expenses, manage supplier billing, and maintain audit-ready documentation in line with client and internal standards.
You’re good at:
• Strong communication skills at all organizational levels, with a professional presence and the ability to convey confidence and authority from the outset.
• Exceptional project management and problem-solving abilities, able to juggle multiple priorities, adapt to changing circumstances, and remain calm under pressure in collaborative settings.
• Proven ability to build and maintain lasting, professional relationships with clients, colleagues, and vendors, fostering a collaborative and team-oriented environment.
• Proficient in Cvent, Excel, and the Microsoft Office Suite.
You might also have:
• A college degree from a 4-year institution.
• A minimum of 5 years of experience in pharmaceutical or medical device congress/convention meeting management
