Job Description
SUMMARY
This position is responsible for the clerical duties required to operate the Computerized Maintenance Management System (CMMS) to accurately record and maintain maintenance records for the facilities. The selected candidate will be responsible for dispatching and updating incoming work requests; creating and scheduling preventative maintenance tasks; and creating facility reports.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintains equipment lists, including vendor information, model / serial numbers, photos, equipment history, user, and technical manuals.
- Adds, deletes, or moves asset information as requested.
- Creates labels to identify equipment and inventory.
- Establishes and maintains part lists, including vendor information, part numbers, costs, photos, and min/max levels.
- Creates and maintains Preventative Maintenance templates and schedules according to user manual and technician input.
- Monitors incoming work requests, reviews for correctness, and ensures timely dispatch. Coordinates with the safety team if reported issue is safety related.
- Ensures all work is documented through the CMMS system by analyzing technician time and reporting to Maintenance Supervisor.
- Follows up on open work to ensure status updates are provided, and work orders are completed in a timely manner.
- Documents parts ordered towards jobs and updates due dates based on part ETA.
- Attaches outside work order reports and invoices to history.
- Creates monthly departmental status reports.
- Performs some purchasing functions, such as issuing purchase orders, dispatching outside service, receiving order confirmations, matching POs to order confirmations, correcting any discrepancies, and maintaining records as required.
- Performs inventory cycle counts as needed.
- Performs other duties as assigned.
Qualifications
QUALIFICATIONS
- Strong organizational and multi-tasking skills
- Strong computer skills to include Microsoft Word, Excel and Outlook
- Strong written and verbal communication skills. Bilingual a plus.
- Superior time management skills and able to set priorities.
- Proven ability to work effectively both independently and as part of a team.
EDUCATION AND WORK EXPERIENCE
- High school diploma or GED required, Associate’s Degree preferred
- 3 years of relevant experience required
- Maintenance Repair and Operations (MRO) commodities and indirect material experience preferred
- Manufacturing experience preferred
PHYSICAL DEMANDS & WORK ENVIRONMENT
- Attend work regularly and report promptly for duty on the days and at the times scheduled by the supervisor.
- Schedule changes occur and should be handled in a productive manner
- Working temperatures vary with seasonal changes where climate control is limited. The environment is one in which noise exists.
- Sit, stand, and/or walk for a combined minimum of eight (8) hours per day on a concrete surface.
- Lift and carry components, tools, or other items weighing more than 35 pounds. Any item over 35 pounds, is to be done with assistance
- May perform combination of physical movements to reach areas difficult to access including bending, stooping, squatting, reaching, twisting and rotation motions using head/neck, arms, wrists, waist, knees and arms while performing duties.
- Pull and push up to 100 pounds.
- Handle small hand tools and power tools. Handling may be done unilaterally (one-handed) or bilaterally (two-handed) depending on size and shape of object and task being performed.
- Need corrected vision to be aware of surroundings and location of items needed and perform various other job duties.
- Need corrected hearing to identify conditions in the environment (i.e. forklift horns, fire alarms).
- Need mental alertness to identify, avoid, or resolve safety hazards.
- Ability to communicate with supervisors and co-workers.
