A Brief Overview
To provide clerical support to the manager and staff of the Sleep Center and other departments within the Pulmonary Service Line. The department assistant is responsible for completing referrals as ordered, scheduling patient appointments, obtaining and processing medical record documents.

Education Qualifications

  • High School Diploma / GED Required


Experience Qualifications

  • 1 year Clerical or administrative experience. Preferred


Skills and Abilities

  • Able to manage all confidential matters. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write and maintain business reports, business correspondence, policy and procedure manuals with competency in spelling, punctuation and grammar. Excellent verbal, written communication and customer service skills as this position must communicate and interact effectively with a large number of professionals and individuals from a variety of backgrounds, including Stormont Vail Health workers, various outside organizations, and general public. Ability to be a self-starter, completes work independently, and prioritizes daily duties in a fast-paced environment. Ability to have a broad knowledge of general office procedures and can schedule appointments as needed. (Required proficiency)
  • Ability to efficiently use word processing programs such as Microsoft Office products including (Word, Excel, PowerPoint and Access), internet, e-mail, accounting software, and database software and as applicable to the department. Ability to use common office equipment including but not limited to: multi line phone system, calculator/10-key; copier, fax, scanner machine, office filing system, and shredder. (Required proficiency)
  • Skill in data entry with minimal errors. Ability to apply concepts of basic algebra and geometry. (Required proficiency)
  • Ability to define problems collect data, establish facts, and draw valid conclusions. Ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram, mathematical, or schedule form and deal with several abstract and concrete variables. Coordinates data to determine time, place and sequence of action to be taken based on analysis of data. (Required proficiency)
  • Knowledge of the continuous quality improvement concept. (Preferred proficiency)
  • Understanding of medical terminology. (Preferred proficiency)


What you will do

  • Greets and provides direction to patients and visitors, notifying receiving personnel of arrivals. Knowledgeably directs guests to team member that can assist them.
  • Receives incoming calls and responds independently, answering questions, providing information or directing to appropriate team member. Relates messages accurately and efficiently to clinical staff and other team members.
  • Completes patient referrals, schedules patient appointments, and completes patient registration in an accurate and timely manner. Prepares patient charts and obtain pertinent medical records prior to appointments. Contacts patients to confirm appointments. Prepares correspondence to patients and other customers.
  • Coordinates cleaning of non-patient related equipment including but not limited to refrigerator, microwave, ice machine, and coffee pot according to departmental policy. Maintains cleaning logs monthly.
  • Maintains department operations including but not limited to inventory, purchase orders/supplies, receiving and distributing correspondence/supplies, patient record processing, record keeping, mail sorting, scanning, filing, and other department specific tasks which ensures the continual functioning of the area.
  • Assists leadership with completing their administrative tasks as necessary.
  • Performs data entry work, scanning, organizing duties as necessary.
  • Performs special projects as necessary.
  • Sends department communication as requested.
