Position Overview
We are seeking a highly organized and proactive Facilities Maintenance Manager with a strong background in managing retail commercial properties. This role will oversee the maintenance and repair operations across multiple locations, ensuring services are executed efficiently, cost-effectively, and to a high standard. The ideal candidate will demonstrate expertise in facility systems, vendor management, and operational leadership.
Key Responsibilities
Vendor & Work Order Management
- Assign work to in-house teams or external vendors based on scope and cost-effectiveness.
- Monitor and manage all maintenance work orders, ensuring adherence to budget.
- Review, assign, and prioritize work orders for execution.
- Maintain strong relationships with vendors.
- Source, evaluate, and maintain a compliant database of local vendors.
- Negotiate vendor pricing and service agreements.
Maintenance Oversight
- Review and oversee corrective and preventative maintenance schedules.
- Ensure timely, accurate completion of all work orders.
- Respond to emergencies when necessary.
Financial & Invoice Management
- Review and validate vendor invoices for accuracy and alignment with quotes.
- Manage invoice reconciliation and approvals.
- Track and report on maintenance expenses for senior leadership.
Communication & Reporting
- Maintain clear communication with store teams and leadership regarding work orders and emergencies.
- Develop reporting tools to track key performance indicators and vendor performance.
Team & Process Management
- Lead training and onboarding for new facilities staff.
- Drive continuous improvement initiatives in maintenance processes and vendor performance.
- Support change management and process improvement implementations.
Required Skills & Qualifications
Technical Knowledge
- Building Systems Expertise: HVAC, electrical, plumbing, mechanical, and structural systems.
- Preventive Maintenance: Strong understanding of PM programs and scheduling tools.
- Workplace Safety: Knowledge of OSHA regulations, safety protocols, and compliance standards.
- Energy Management: Familiarity with energy-efficient systems and sustainability programs.
Project Management
- Planning & Scheduling: Ability to organize maintenance work, upgrades, and repairs.
- Budgeting: Experience managing budgets, cost control and procurement.
- Vendor Management: Handling contracts, negotiations, and performance evaluations.
- Capital Projects: Overseeing facility improvement or renovation projects.
Problem-Solving & Analytical Thinking
- Troubleshooting Skills: Diagnosing system failures and implementing corrective actions.
- Critical Thinking: Making informed decisions in high-pressure or emergency situations.
- Data Analysis: Using CMMS and AI data analysis to improve efficiency and cost effectiveness.
Leadership & Team Management
- Team Leadership: Ability to lead, train, and motivate staff, contractors, and vendors.
