Job Description

Ares is seeking a Facilities Analyst for our Corporate Services Department. The Analyst will provide a wide variety of general services to the company and will be responsible for working with the Corporate Services team in managing certain facilities-related activities in our New York office.

Primary functions and essential responsibilities

  • Monitor “Facilities” helpdesk and respond to requests promptly & courteously with a strong customer service focus.
  • Liaise with building management staff to report and resolve any issues relating to the physical operation of the office – temperature adjustments, restroom issues, light changes, etc.
  • Assist with managing vendor relationships with office service providers (copiers, towel services, shredding services, office & kitchen supplies, etc.)
  • Assist with daily Print and Presentation binding request.
  • Keep common office areas stocked and clean.  This includes copy centers, printer stations,  conference rooms and other project areas. (Frequent lifting of boxes up to 50 lbs. is necessary)
  • Provide assistance for large meeting set-ups which may include light moving of furniture and supplies, assist with catering set-up and removal. 
  • Maintain consistent inventory of office supplies.  Replenish items when necessary and maintain complete records for billing purposes.
  • Receive and distribute all incoming packages and mail.  Process outgoing mail as necessary.
  • Ensure all office equipment is in proper working order (including replenishment of paper, toner, staples, etc.).  Contact repair technicians when necessary.
  • Performing additional ad hoc special project work as necessary
  • Work with both internal and external groups, as well as management, to ensure that objectives are met.
  • Assist team with coordinating desk area as necessary for new hires and visitors.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Set-up conference rooms including  furniture configuration, office supplies and maintaining all facilities related items HVAC/Light bulb replacement
  • Handle sensitive and/or confidential documents and information.
  • Primary onsite contact for closing out the office in the evening at 6pm.
  • Assist with overtime projects (onsite with vendors afterhours).

Qualifications

Education: College degree preferred but not required

Experience Required:

  • 1-3 years’ experience in a corporate services environment
  • Knowledge of buildings, maintenance and service
  • Presentation Printing and binding
  • Copy room inventory/replenish inventory
  • Experience of liaising with clients, tenants, consultants and local authorities
  • Managing third party contractors (in-house and externally)

General Requirements:

  • Comfortable interacting with all levels of personnel
  • Exceptional attention to detail and organizational skills
  • Strong verbal and written communication skills
  • Demonstrates enthusiasm and flexibility; ability to think ahead
  • Proficiency in MS Office

Compensation

The anticipated rate for this position is listed below. Total compensation may also include a discretionary performance-based bonus.

$55,000 - $60,000
