You Role
The Manager, Office Leasing, will support the Director, Studio Leasing, and the Studio Operations team sales effort in looking to book production clients to primarily office space while supporting stages and backlot bookings. They will be the first point of contact for 3rd party production teams, location managers, producers, independent creatives, and other studios looking for information about booking the facility. The Manager will be charged with overseeing new client onboarding and contract review as they move through the process. They will also support long term space planning and work closely with internal corporate groups as they move around the Burbank main lot, Alameda Studios, and eventually The Ranch studios. They will help maintain a long term 12 month outlook calendar, be responsible for reviewing weekly Xytech and PlanOn work orders for accuracy before billing, and assist when the Studio Ops managers have questions from clients on charges.
This position will also support the Studio’s publicity efforts in reviewing documentation, insurance requirements, and Studio Lease Agreements as License and Indemnity agreements for third party groups. These often come in late in the day or on weekends and require quick turnaround to support tight deadlines for journalists and trade groups. Another core function of this role will be supporting production needs alongside the Studio Operations managers when it comes to filming in office settings outside of traditional production space.
The Manager, Office Leasing, will supervise 1 Studio Operations Coordinator including scheduling, work assignments, job oversite and coaching, and indirectly advises the Studio Ops Client Service Center members. They will also support the Director, Studio Leasing, in whatever assignments happen to come their way in support of the department and division.
Your Role Accountabilities
- Working with 3rd party clients on space inquiries. Preparing custom bid sheets, answering sales questions, providing custom discounts based on creative and financial needs, and short term space planning. Accompanying scouts for in person walk throughs with location scouts, producers, directors, and production designers and sending custom plans and maps to assist in planning before booking. Once interested in booking, going through the client onboarding process, collecting deposits, issuing challenges, working with Studio Services to set up offices, assigning day to day management to the Ops team, and then working with the business team to close the job out. Chasing down internal departments to post invoices, reviewing invoices for accuracy, and then wrapping up with client.
- Long term space planning. Maintaining Xytech and PlanOn, looking at the next 6 months and 12 months of planned occupancy and keeping charts updated for senior leadership. Working with Studio Ops staff to create new work orders, answer questions for Xytech and PlanOn, additional training and new hire training for the software.
- Supervises (1) Coordinator, including scheduling, work assignments, job oversite, coaching and training. Regularly follows up on projects assigned to clerk and provides feedback and guidance.
- Supporting Operations managers when production looks to work inside office space for shooting. Including but not limited to initial scout, drive on passes, backlot logistics, shoot coordination, tech scouts, and wrap out walk.
- Working with all WBD publicity teams both production and corporate. Supporting WB Studio Tour Hollywood for publicity requests and accommodating on lot shooting. Reviewing insurance forms, equipment lists, planned activity, hiring security officers, and managing logistics of small production teams working around the facility. Bigger shoots will get assigned to the Operations management team.
Experience & Qualifications
- Required 3+ years in film or television production, or management
