Operations & Facilities Administrative Assistant
As a key member of our team, this role ensures the smooth operation of our office. This role will balance supporting to main functions: 1) providing administrative support to the Operations Leadership team and 2) serve as the front desk administrator. The Operations & Facilities Administrative Assistant is the face of the company and ensures they make a good first impression on employees, visitors and customers. This position ensures the front desk is kept in order and manage and filter all communication from outside vendors and customers to internal employees either by phone, email, or verbally. Additionally, this position will provide needed support to the leadership team in areas such as meeting/event scheduling and planning, book travel and processing expenses.

- Administrative Assistant focused tasks: schedule and organize complex activities such as meetings, travel, conferences and department activities, create and develops visual presentations for the Operations Leadership team, data entry, paperwork, and photocopying. Assist in engagement activity planning. Support data entry and processing of leadership expense reports.
- Office Management focused tasks: sorts and distributes incoming facility mail, prepare and manage outgoing mail. Ensure meeting room, event center, and lobby space are setup and/or equipped for daily meetings and events. Work with facilities and communication team to ensure monitors are on and working correctly for announcements. Greet clients as they arrive and ensure a smooth check-in process, ensure building security by implementing sign-in protocol and address client needs and concerns promptly and professionally.

- Eagerness to learn new skills and solve problems.
- Possess strong verbal and written communication skills, including spelling, grammar, and proofreading proficiency.
- Great organizational skills and attention to detail.
- Ability to manage multiple tasks and work in a team-oriented environment with all levels of staff.
- Exercise discretion in handling confidential or sensitive information.
- Proficiency with MS Office applications including advanced experience in Outlook, Teams, Excel and PowerPoint
Desired Qualifications
Required Education: High School diploma or GED
Preferred Education: Associate’s Degree in Business or similar discipline
Preferred Experience:
- 2+ years of Administrative experience in a manufacturing or warehouse environment
- Advanced skills in Microsoft Office including PowerPoint, Outlook, Word, and Teams
- 2+ years experience in expense management and travel coordination
Job Location: Bloomington, MN (through Spring 2025); Shakopee, MN (Spring 2025 - forward)
Job Type: Non-Exempt
Working Environment: This position is a dedicated onsite role in an open office setting with adjustable standing/sitting office furnishings offered.
Physical Demands: Must be able to lift up-to 10lbs if required
Position Type and Expected Hours of Work: Full-time Monday-Friday, 40 hours per week, plus overtime as needed.
