General Description / Primary Purpose
The Accounting Associate is responsible for receiving, recording, and legally receipting charitable contributions to the UNF Foundation in accordance with donor intent, UNF policies and adherence to IRS rules and regulations governing charitable contributions.
Job Function
Responsibilities include, but not limited to:
-Generation of donor acknowledgement letters for the review and signature of the Foundation’s Executive Director and the generation of various gift reports
-Receives donor gifts and pledges from development staff and/or their assignees, verifying the accuracy and completeness of funds transmittal information, assignment to the proper account(s), proper designation of gift/non-gift portions of transactions, and that proper authorization (signatures) have been obtained
-Works with the Advancement Operations and Annual Giving department in the proper collection of data required to record gifts
-Process crowdfunding platform gifts
-Prepares the daily deposit and reconciliation of checks, cash and charges and runs transmittal reports for the Foundation Accounting and Cashier’s Offices
-Prepares donor receipts required by the IRS for charitable contributions; prepares donor acknowledgement letters for the signature of the Foundation’s Executive Director and/or the Foundation President
-Accuracy and accessibility of data in the Raiser’s Edge database has a tremendous impact on the activities of the university, including, and especially, the accurate recording of revenue. This position is held highly accountable as they are the primary custodian of monies submitted to Advancement Operations until transmitted to the Cashier’s Office
-Recurring credit card and payroll gift batches
-Serve as a backup for review of gift batches during the absence of Associate/Assistant Director of Gift Processing, review of any batches completed by others
-Utilize Lexis Nexis for purposes of donor research and confirmation of bio updates
During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.
