Job Description:

College of Human Sciences & Education

University Laboratory School

Coordinator - Office Support (Hourly)

This position provides support for functions of the University Laboratory School's (ULS) Main Office, as well as provide administrative support to the ULS Administration (Director, Elementary Principal, Secondary Principal, Dean of Students, Director of Athletics, etc.) This will be a 10-month position, that follows the school's academic calendar schedule.

40% Administrative Support: Provides ongoing administrative support to the University Laboratory School. Ensures efficient operations within the office which includes but is not limited to: answering a multi-line phone system; assisting parents with face to face requests; assisting with student check ins and student check outs; assisting with student deliveries; assisting with entering daily student attendance in PowerSchool; assists with controlling school building access via secure Xprotect Smart Client system; assists with visitor check-ins/outs; and assists with ordering and procurement of supplies for efficient office operations, etc.

20% Faculty and Staff Service: Ensures efficient communication with faculty and staff; prepares correspondence; assist coordinating mail outs; assists with the production of labels and reports and report cards; assists with distributing incoming mail to faculty; assists the Director with start of and end of year activities including but not limited to student packets, calendar, IDs, teacher schedules, school forms, etc.; assists with procurement of goods and supplies as needed for elementary and secondary schools; assists Dean of Students with entering discipline records in student management data base; and maintains confidentiality of all student records and information.   

20% Substitute Personnel Support: Assists supervisor with monitoring substitute software Smartfind Express; responds to faculty and substitute questions regarding substitute postings; coordinates strategic scheduling of substitutes for each class period when needed; assists with compilation of substitute hours; and maintains confidentiality of all employee records and information.  

15% Reporting & Documentation: Prepares analytical data for supervisor based on information needed from various programs including PowerSchool; Workday; Scholarship; Microsoft Office, and other programs; assists administration with the coordination of data and reporting as requested; evaluates and edits documentation as needed; and ensures confidentiality and integrity of all data and information reviewed. 

5% Other Duties: Maintains a working knowledge of all office equipment including the Scholarship and Carehawk bell system; orders coffee supplies; other duties as assigned by Supervisor; assists supervisor with copier supplies, poster supplies, and lamination supplies for the school; assists with project related tasks as needed; and other duties as assigned by the supervisor and/or ULS administration. 

Minimum Qualifications:

Bachelor's Degree
