What you will do:

We are looking for an astute, determined professional like you to fulfill an Executive Assistant / Office Manager position to provide executive support for PGIM Real Estate’s Co-Head and Global Chief Operating officer. You will showcase your success through collaboration, ownership and innovation. Your expertise in emerging trends and practices will evoke stimulating discussions around optimization and change to help keep our competitive edge. What you can expect:

  • Provide exceptional support and implement procedures to ensure efficient operations of the Co-Head and Global Chief Operating Officer of PGIM Real Estate.

  • Organize and manage calendar and logistics; this requires coordinating constantly changing schedules and preparing for meetings and conference calls by having all related documentation and logistics in place.

  • Coordinate and arrange regional and global executive committee meetings including coordination of meeting agenda, meeting materials, meeting logistics, travel and related planning.

  • Coordinate and arrange on and off-site meetings including, but not limited to, selecting the venue, contract negotiation, planning for food and beverage needs, and preparation of slides and materials, including agendas.

  • Coordinate logistics related to industry organization committee membership and external board participation.

  • Serve as office manager for PGIM Real Estate’s New York and New Jersey offices– assist in managing office logistics, manage receptionist and coordinate front desk coverage.

  • Arrange and coordinate extensive and complex domestic and international travel schedules and logistics.

  • Leverage new and existing technology and mobile platforms (One Drive, etc.) to organize meeting materials on behalf of executive.

  • Develop and edit presentations, typically in PowerPoint.

  • Conduct research and compile information for multiple types of statistical reports, using various software, including MS Office.

  • Other executive admin duties (calendaring, travel, expense reimbursements, etc.) as assigned.

What you will bring:

  • 5 or more years of senior level executive assistant experience working in a fast paced and demanding environment.

  • Proficiency at Microsoft Office applications (Word, Excel, PowerPoint and Outlook).

  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.

  • Experience and/or strong interest in event planning with a strong client service orientation and organizational skillset.

  • Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner.

  • Strong initiative, good judgment and the ability to multi-task.

  • Solid partnering skills and team player a must; excellent interpersonal and communication skills.

  • Strong writing, editing and proofreading skills.

  • High level of motivation and attention to detail.

  • Ability to think proactively and anticipate needs.

  • Ability to work independently with minimal supervision, work under tight time constraints, and be able to prioritize work.

  • Ability to work well and partner with other professionals and administrative staff.

  • Flexibility to work overtime on an as needed basis is required.

  • Ability to travel on a quarterly basis preferred, including travel to PGIM’s Newark office location.

  • College degree preferred.
